Job Summary:
Norfolk Public Schools is seeking a highly organized, detail-oriented, and collaborative individual to serve as our Special Education Administrative Assistant for PreK-6 programs district-wide. This position supports the Director of Student Services and plays a key role in ensuring compliance with state and federal special education requirements while providing excellent service to students, families, and staff The successful candidate will thrive in a fast-paced environment, manage multiple priorities and timelines, maintain confidentiality, and support the district's commitment to meeting the needs of all learners.
Qualifications:
Associate's degree required; Bachelor's degree preferred Minimum of 3 years of administrative experience; school or special education experience preferred Knowledge of Massachusetts special education regulations and timelines preferred Experience with IEP software and student information systems preferred Strong technology skills, including proficiency in Microsoft Office and Google Workspace Excellent organizational, communication, and interpersonal skills Ability to manage multiple deadlines and maintain strict confidentiality

Work Year:
12 Month Position Professional Responsibilities (Essential Job Functions): Coordinate and schedule special education Team meetings, annual reviews, reevaluations, and initial evaluations across PreK-6 programs Prepare and distribute meeting notices, consent forms, N1 forms, IEP documents, and evaluation reports Monitor and track required timelines to ensure compliance with Massachusetts special education regulations and federal law Maintain accurate, secure, and confidential student records and files Enter and update student information in special education and student information systems Serve as a point of contact for families, staff, and outside providers regarding the special education process Coordinate interpreter and translation services as needed Support the Director of Student Services with departmental communications, data tracking, order supplies, process purchase orders, and other administrative duties Assist with documentation related to out-of-district placements, circuit breaker, transportation, and specialized services Coordinate and execute logistics for Kindergarten Screening, including scheduling and resource allocation Track and enter attendance into district software to record attendance for the Special Education central office department.
Preferred Qualifications:
Experience working in a public school special education office Familiarity with DESE compliance requirements, N1 forms, IEP timelines, SIMS, and EPIMS Experience coordinating multiple calendars and managing high-volume workflows
Physical Working Conditions:
Frequently required to sit, stoop, kneel, crouch. Ability to lift and move special education documents and files as needed. Ability to use computers, special education management systems, and district technology.
