Under the direction of the Manager, Print Services, the Managed Print Services Specialist is responsible for overseeing the print environment across all schools and administrative buildings. The role combines technical knowledge with customer service, cost management, and strategic planning skills to optimize the print infrastructure in support of the educational environment.MINIMUM QUALIFICATIONS A
combination of education and experience may be considered.Education:
Possession of a High school diploma or GED . Experience requirements may be met by substituting education (up to a Bachelor's degree) for experience on a year-for-year basis.Experience:
Five year s of experience with the functions, use, operations, t roubleshootin g and care of commonly used reproduction equipment such as Canon, Sharp, HP copiers and printers and material for business reproduction services. T hree years of experience providing responsive c ustomer service .PREFERRED QUALIFICATIONS

Eight years of experience with the functions, use, operations, troubleshooting and care of commonly used reproduction equipment such as Canon, Sharp, HP copiers and printers and material for business reproduction services. Experience monitoring and maintaining print servers, related software, and applications. Experience working with vendors ( i.e. p urchase orders, invoicing , scheduling and managing service requests) . E xperience working with budgets, performing account reconciliation, and/or creating financial reports. E xperience utilizing spreadsheets to organize, manipulate, and analyze data. C lerical, secretarial, and/or administrative support experience in an office setting. Experience analyzing printing costs. Experience implementing structured training initiatives for others.ESSENTIAL POSITION RESPONSIBILITIES

Evaluating, deploying, and maintaining printers and multifunction devices to ensure they meet the needs of staff and students. This includes monitoring device status, troubleshooting issues, and coordinating repairs or replacements.User Support and Training :
Providing support for users, responding to help desk requests, and training staff on how to use print devices and software effectively. Provide technical support : Collaborating with IT Department Staff to troubleshoot networked printers and ensure print security.Vendor Coordination:
Oversee relationships with vendor representatives and vendor provided technicians who perform repairs, routine maintenance, and device installations.Cost Control and Budgeting :
Analyzing printing costs and usage data to help reduce expenses. Recommend policies to minimize unnecessary printing, managing print quotas, and implementing cost-effective print solutions.Payroll and Finance:
Submit payroll for approval by Manager of Print Services. Create requisitions, purchase orders , process invoices. Coordinate and process orders for printed materials from schools including envelopes, PBIS tickets, Years of Service certificates, etc.Building Maintenance:
Submit and track service requests for building maintenance needs. Manage approvals for meeting requests for Gerwig Lane building. Employee Safety Th e employee is responsible for the use of safety devices and protective equipment in order to minimize the frequency and severity of work-related accidents. The employee is responsible for using safe practices and methods in the operation and supplies related to their job.ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES

Deep understanding of multifunction device (MFD) hardware, including laser, inkjet, and high-volume thermal printers, and their mechanical components.Fleet Management Software:
Proficiency in print management systems (e.g., PaperCut , Equitrac , or Pharos) used for tracking usage, setting quotas, and secure release.Networking & Security Protocols:
Solid grasp of TCP/IP, DNS, and DHCP as they relate to networked peripherals, as well as print security protocols like AES encryption , Secure Print , and LDAP/Active Directory integration.Cost Analysis & Budgeting:
Understanding of Total Cost of Ownership (TCO), including "cost-per-page" models, consumable lifecycles, and procurement best practices.Skills Diagnostic Troubleshooting:
Expert-level ability to identify and resolve complex hardware failures (paper jams, fuser errors) and software conflicts (driver issues, spooler hangs).Data Analytics:
Skill in interpreting usage logs and financial data to identify waste, project future needs, and generate ROI reports for stakeholders.Vendor & Contract Management:
Experience in managing Service Level Agreements (SLAs), coordinating technician dispatches, and negotiating with external vendors for equipment upgrades.Technical Instruction:
Ability to translate technical workflows into simple, user-friendly guides and lead training sessions for non-technical staff and students.Abilities Strategic Policy Development:
Ability to design and implement organizational policies—such as default duplex printing or grayscale-only rules—that balance user needs with cost-reduction goals.Cross-Functional Collaboration:
Ability to work seamlessly with IT systems administrators to ensure print servers are optimized and firewalls are correctly configured for device communication.Service-Oriented Problem Solving:
A proactive approach to help desk support, prioritizing urgent classroom or administrative needs while maintaining a professional and patient demeanor.Operational Oversight:
Ability to manage the full lifecycle of a device fleet, from initial evaluation and deployment to decommissioning and data sanitization.ADDITIONAL REQUIREMENTS

Compensation This is a 12- month per year position in the Howard County Education Association, Educational Support Professionals (HCEA-ESP) employee unit. The current salary range for this position is Grade 2 5 on the Technical Central Office and School Based salary scale, $ 87,280
- $ 138,433 .

Master Agreement which considers relevant prior experience. Under the Fair Labor Standards Act, this position is exempt from overtime. Retirement Membership in the Maryland State Retirement Agency (MSRA) pension plan is a mandatory condition of employment for all employees who meet the eligibility and membership criteria defined in the State Personnel and Pensions Article and the Code of Maryland Regulations (COMAR). A qualifying employee cannot reject membership, nor can an ineligible employee elect membership. The annual contribution to the pension plan will be 7% of an employee's annual salary . Benefits HCPSS offers a comprehensive benefits package for eligible employees. Information about additional benefits such as paid time off can be found in the negotiated agreement for employees in this bargaining unit. Pre-Employment Requirements Professional references will be contacted prior to any offer of employment. Recommended candidates will be required to provide references from current and recent supervisors.
