Job Description
Description We are looking for a skilled and detail-oriented Senior Administrative Assistant to join our team in Baltimore, Maryland. This Contract to permanent position offers an opportunity to contribute to the smooth operation of our organization by managing administrative tasks, coordinating schedules, and supporting key stakeholders. The ideal candidate will excel in data management, reporting, and communication, ensuring the efficiency of daily operations.
Responsibilities:
- Dispatch and coordinate work orders to internal teams and external vendors, ensuring timely and accurate completion of tasks.
- Maintain and update data in the Computerized Maintenance System, ensuring accuracy and compliance with organizational standards.
- Develop and manage SharePoint databases and spreadsheets to track operational metrics and vendor performance.
- Prepare and process requests for materials, services, and contracts while coordinating with finance and procurement departments.
- Attend meetings, take detailed notes, and distribute action items and documentation to relevant stakeholders.
- Create reports and dashboards analyzing trends, performance metrics, and vendor response times to inform operational planning.
- Develop presentations and summaries for leadership, highlighting key insights and recommendations for improvement.
- Provide general administrative support, including document preparation, filing, and coordinating correspondence.
- Assist with continuous improvement initiatives by analyzing data and identifying opportunities for enhanced efficiency. Requirements
- Proven experience in administrative roles within facilities or maintenance environments.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and SharePoint.
- Familiarity with Computerized Maintenance Systems and the ability to learn new software quickly.
- Strong organizational and time management skills, with the ability to handle multiple priorities in a dynamic setting.
- Excellent communication and customer service skills to effectively collaborate with stakeholders at all levels.
- Analytical abilities to interpret data, generate reports, and present findings clearly and concisely.
- Experience coordinating schedules, managing calendars, and supporting meetings or conference calls.
- Ability to book travel arrangements and manage related documentation as needed.
