Job Description

The Staff Accountant is responsible for assisting the Chief Financial Officer (CFO) in supporting the financial operations of the department. This role provides support in areas including accounts payable, payroll, invoicing, and other financial transactions to ensure accurate and efficient financial operations. Specific Essential Functions of the Job 1. Primary Responsibilities Support fiscal department operations and staff, including payroll, accounts payable, accounts receivable, and billing. Responsible for learning accounts payable processes and procedures, including entering new vendors, coding invoices, and obtaining appropriate approvals. Responsible for learning accounts receivable processes and procedures, including creating and entering grant and contract invoices in the accounts receivable system, verifying cash receipts daily, monitoring aging reports and coding cash receipts. Responsible for learning payroll processes and procedures, including maintaining cost centers in the MIP system, approval of payroll, assisting with payroll tax preparation, and maintaining banking ACH templates. Responsible for learning the billing and collection process and procedures, and providing support for the billing department as needed. Assist with maintenance of the MIP, Microx, and SAP Concur systems, including maintaining distribution codes, general ledger accounts, and program structures. Maintaining the General Ledger and all account reconciliations, including coordinating and posting journal entries daily. Perform monthly analysis of the healthcare account. Assist in minimizing financial risk to the company and improving efficiency. Provide insightful information to senior executives to aid in long-term and short-term decision making. Assist with the preparation of departmental and organization financial documents. Understand and adhere to applicable financial regulations. Develop or recommend solutions for problems or situations, as they arise. Become knowledgeable and proficient with accounting software to be used for financial purposes. Confers with CFO and other program coordinators on matters concerning internal control, budgets, and property control. Coordinate with Human Resources in calculation and tracking of proper leave accruals and balances. Perform bank reconciliations monthly. 2. Budgeting/Reporting As requested, prepare necessary financial reports on a monthly, annual or requested basis as may be needed to fulfill responsibilities to funding and third-party payers; which include but are not limited to Mental Health Board Financial and Service Accounting Reports/Grant related reports, Insurance and Medicaid inquiries. Assist in the preparation of financial reports to board members, stakeholders, executives, and community. Assist the CFO, CEO and Department Directors/Supervisors in projecting and preparing program, project, and special operating budgets, as requested. Provide periodic reconciliation of service projections and contracted deliverables, as may be required to assess actual service activity versus service projections. Monitor accuracy and production of monthly productivity performance reports. Produce usable reports out of the system for budgeting and billing purposes. 3. Purchasing Become knowledgeable and proficient with electronic purchasing system and proper utilization by all staff. Perform expense coding or review coding completed by other staff. Any purchasing activities as instructed by
CFO/CEO. 4.
Audit Assist in the preparation of necessary and requested materials for review by Alta's contracted Independent Auditor, as well as any Government or Third-Party Payer auditors. Assist the CFO and CEO, as requested, in review of the annual independent Audit Report and response to any findings or recommendations. 5. Record Keeping Maintain filing system for: Fiscal correspondences and related documents Contracts 6. Other Support Responsible for the monthly close-out process. Responsible for making adjusting journal entries as required. Attend departmental planning meetings and assist and confer with: Head Start Director, Department Directors/Supervisors, Clients Rights Officer, Safety Officer, and Office Manager so as to facilitate cooperative, efficient and effective relations which benefit Alta services and organizational interests. Assist the CFO with tax preparation, auditing, banking, investments, and other financial needs as necessary. Compose correspondence independently, as instructed by the CFO or CEO. Sensitivity to cultural and economic characteristics of a diverse service population. Specific Essential Conditions of Employment 1. Ability to provide own transportation to work and community sites. A. If driving own vehicle during Alta business, current auto liability insurance to minimum limits required by the State of Ohio. B. Valid Ohio Driver's License. 2. Citizen of the United States. 3. Absence of past criminal activity which would bring into question professional and personal integrity as it applies to position responsibilities. 4. Ability to operate computer, electronic calculator, copy machine, telephone, fax machine, and paper shredder, with reasonable accommodation if necessary. 5. Ability to access 4 drawer high stacked files, with reasonable accommodation if necessary. 6. Occasionally necessary to work outside of normal hours in order to meet workload demands or attend meetings, with reasonable accommodation if necessary. 7. Support and practice Alta Values and adhere to the Mission Statement Minimum Qualifications Bachelor's Degree in Business and Accounting. Experienced with Excel spread sheet capabilities. Preferred Qualifications Bachelor's Degree in Business and Accounting plus 3 years' experience in a non-profit organization Advanced degree in accounting, business, economics, finance, or a related field; several years of experience in a finance role. Experience with 990 Tax Accounting. Leadership skills and employee management experience. Starting Pay at $50,000/year, commensurate with experience.
