Responsible for coordinating all aspects of stakes race administration, including nominations, entries, payments, and communication with horsemen, to ensure accurate execution of stakes races in compliance with racing regulations and operational standards. This is a seasonal position for the summer race meet at Colonial Downs.ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinates all administrative functions related to stakes races, including nominations, sustaining payments, and entry processing.
- Maintains accurate records of nominations, payments, eligibility, and conditions for each stakes race.
- Prepares and distributes stakes race condition books, nomination forms, and related materials.
- Communicates with owners, trainers, and agents regarding eligibility, deadlines, payments, and race conditions.
- Works closely with the Racing Secretary to ensure accurate entries and proper field selection for stakes races.
- Verifies payments and eligibility requirements to confirm horses are qualified to compete.
- Assists in compiling and publishing official stakes race information, including overnight sheets and program details.
- Coordinates with Horseman's Bookkeeper to track and reconcile stakes payments and purses.
- Ensures compliance with all applicable racing commission rules and internal policies.
- Provides support on race days as needed, including assisting with entries, scratches, and race changes.
- Responds to inquiries from horsemen and racing officials in a professional and timely manner.
- Maintains confidentiality and integrity in all aspects of racing operations.
- Performs other related duties as assigned.
REQUIRED SKILLS AND ABILITIES
- Strong attention to detail and ability to manage multiple deadlines simultaneously.
- Excellent organizational and recordkeeping skills.
- Strong written and verbal communication skills with a professional demeanor.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Knowledge of Thoroughbred racing operations, stakes race structure, and industry terminology.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency in Microsoft Office and racing database systems.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- Prior experience in Thoroughbred racing operations, racing office administration, or stakes coordination preferred.
- Experience working with nominations, entries, or purse accounting is a plus.
- Other combinations of education and experience may be considered.
- Must obtain and maintain a Virginia Racing Commission racing license.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
- The Team Member will be required to sit, stand, and walk for extended periods during race meets.
- While performing the duties of this job, the Team Member is frequently required to use hands to handle paperwork and computer systems; communicate verbally; and move throughout the racing office and grounds.
- The Team Member may occasionally lift and carry materials weighing up to 20 pounds.
- The Team Member may be required to work long hours, including early mornings, nights, weekends, and holidays, based on racing schedules.
- The noise level in the work environment is usually moderate to loud.
- The work environment may include exposure to outdoor weather conditions, crowds, and high levels of activity associated with live racing.
