In addition, performs recordkeeping work in compiling and maintaining attendance records for students and reporting average daily attendance of students to the District Office. Typical duties will include, but are not limited to, maintaining records and files and preparing brief reports, depositing funds and making disbursements from petty cash while maintaining auditable records, and keeping time records for employees, preparing internal attendance reports on student absenteeism on a daily basis, readmitting students to school or class after absences, verifying the nature of the absence, maintaining appropriate individual student attendance records to report average daily attendance. Other duties will include operating various office machines, conferring with parents, teachers and administrators regarding student welfare, typing a variety of documents from oral directions or rough drafts, arranging appointments for students with District support personnel, administering first aid to students in absence of nurse and maintaining confidentiality of student records. DESCRIPTION:
Under supervision, performs a variety of routine clerical, secretarial and receptionist tasks. In addition, performs record keeping work in compiling and maintaining attendance records for students and reporting average daily attendance of students to the District Office. QUALIFICATION
Knowledge of:
  • Office methods and practices, including filing systems, receptionist and telephone techniques and letter and report writing;
  • English usage, spelling, grammar and punctuation;
  • Office machines and the ability to demonstrate skill in their operation;
  • Basic computer input and retrieval methods.
AND Ability to:
  • Function under pressure and maintain composure under stress;
  • Perform responsible clerical work with accuracy and speed;
  • Learn and apply the rules and policies which govern center activities;
  • Learn and apply district policy and rules and regulations concerning school attendance accounting and privacy of student records;
  • Maintain confidentiality of student records;
  • Compile and maintain accurate and complete attendance records and reports
  • Make arithmetical calculations quickly and accurately;
  • Prepare reports and maintain records;
  • Understand and carry out oral and written directions;
  • Meet the public tactfully and courteously in situations requiring diplomacy and firmness;
  • Type at a speed of 40 words per minute from clear copy;
  • Obtain a Red Cross first aid certificate;
  • Establish and maintain cooperative working relationships with those contacted during the course of work.
AND Training and experience:
  • Any combination of training and experience which would provide the required knowledge and abilities is qualifying.
A typical way to obtain such knowledge and abilities would be: Two to three years experience in responsible record keeping or clerical work, preferably a position within a school district involving frequent contact with the public and with children and experience with attendance record keeping.
Physical Abilities:
Requires sufficient hand/eye coordination and manual dexterity to use a computer keyboard. Requires prolonged typing and data entry. Requires frequent sitting. Requires sufficient visual acuity to read words, letters and numbers. Requires auditory and speaking ability to carry on conversations over the phone and in person. Requires the ability to bend, stoop, squat and reach above/below shoulder level to pull materials from files and shelves. Frequently lifts and carries up to 10 pounds; occasionally lifts and carries up to 30 pounds.
