Purpose The Sales & Operations Coordinator role works under minimal supervision and delivers a full range of administrative services to SwapLoader corporate divisions, Regional Sales Managers, and customers. Within established guidelines, this role independently plans, organizes, and schedules daily work. Additionally, this role resolves most questions and problems, referring only the most complex issues to management. Key Responsibilities Order Entry (70%) Follow established processes and procedures to accurately enter orders for whole goods and service parts. Provide order entry support to sales, accounting, and manufacturing to ensure all order details are complete and correct. Coordinate with customers on shipment notifications for pickups and deliveries. Maintain filing systems and accurate records for all processed orders. Administration & Customer Service (30%) Professionally manage incoming calls and customer inquiries, providing accurate information and directing requests appropriately. Support Regional Sales Managers, customers, and internal departments with timely and accurate information related to product availability, lead times, pricing, and order status. Maintain various daily and weekly sales and production reports. Represent SwapLoader in a professional and courteous manner, ensuring all internal and external customers receive outstanding service and follow-up. Support a collaborative, high-performing team environment that fosters quality, accountability, and continuous improvement. Additional duties may be assigned to meet organizational goals and priorities. Duties and responsibilities, as required by business necessity, may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing, to meet organizational goals and priorities.
Qualifications Education :
High school diploma or equivalent required.
Experience :
2-5 years of administrative support experience, including accounts payable/receivables, required.
Computer Skills :
Proficiency in Microsoft Word and Excel. Outlook experience preferred.
Other Requirements :
Strong interpersonal and written communication skills. Ability to prioritize tasks, adapt to changes, and work independently. Must be detail-oriented with strong numeric and alpha skills, filing, and recordkeeping abilities. Must maintain confidentiality. No travel required.
