Our team of certified specialists ensures that all services adhere to the highest standards set by NFPA and California State Fire Marshall. Summary We are seeking a detail orientated, organized, and proactive Office Administrator/Help Desk to join our team. This role acts as the central hub for operations, managing daily administrative tasks while overseeing computers, software, and basic network support. This position plays a key role in ensuring smooth day-to-day office operations and assist our Service Managers with administrative tasks. If you're someone who enjoys making sure an office runs efficiently, and solve technical issues to support productivity, we'd love to meet you! Responsibilities Heavy data entry. Assist 2 Service Managers with administrative support as needed, assisting with scheduling and clarifying job information to bill customers correctly. Serve as the first point of contact for employees seeking technical assistance. We have a total of 6 employees within the office and 12 technicians out in the field. Assist with the setup, configuration, and maintenance of workstations, printers, laptops, mobile devices, and other equipment. Post invoices from in-house software system to QuickBooks Online and bill customers. Modify and correct AES reports from technicians and send to customers and upload into various platforms. Oversee and manage IT functions within the office. Create user email accounts with Microsoft 365 Data backup and recovery Troubleshoot network connectivity issues Setup VPN access for remote users Software configuration and troubleshooting Manage and troubleshoot Microsoft Office 365/Outlook access issues Apple Business Manager confirguration using JAMF and adding devices to active directory Help assist with implemenation of field service software and management. Troubleshooting technical issues and managing user accounts. Manage security systems and ensuring digital records are secure. Create and maintain filling systems, both electronic and physical. Inputs and updates information in databases and spreadsheets. Requirements High school diploma or equivalent required. Minimum of 4 years' experience with recent experience in a similar Help Desk/ Office Administrator role preferred. Must have technical proficiencies in IT Support, Systems Management, Networking, Software Skills, as well as office coordination. Strong technical proficiency in OS management, networking, and cloud platforms. Strong computer literacy with proficiency in Microsoft 365 and Microsoft Suite (Outlook, Word, Excel, PowerPoint) as well as Google and TeamViewer. Strong communication and interpersonal skills. Ability to prioritize, multitask, and stay organized in a fast-paced environment. Outstanding communication skills, problem-solving skills, and adaptability.
