Description Data Specialist 6-Month Contract | Education Industry Position Overview Our client, a growing organization within the education sector, is seeking a highly detail-oriented Data Specialist to support a large-scale data organization and cleanup initiative. This six-month contract position will be responsible for maintaining, auditing, organizing, and validating critical business data across Excel and HubSpot. The ideal candidate will have strong technical skills in Excel, experience working within CRM systems, and a proven ability to manage large volumes of data with a high degree of accuracy. This role regularly supports executive leadership and requires professionalism, discretion, and excellent communication skills. Key Responsibilities Data Management & Organization + Review, organize, clean, and maintain large datasets across multiple platforms. + Input, update, and validate information in Excel spreadsheets and HubSpot CRM. + Ensure data accuracy, consistency, and completeness across systems. + Identify and correct discrepancies, duplicate records, and incomplete information. + Assist with data migration, standardization, and ongoing data maintenance efforts. Reporting & Analysis + Utilize advanced Excel functions to organize and analyze data. + Create and maintain Pivot Tables, VLOOKUPs, and other reporting tools. + Generate reports and dashboards to support business operations and executive decision-making. + Analyze data trends and provide insights regarding data quality and integrity. + Assist leadership with ad hoc reporting requests and special projects. CRM Administration + Manage data entry and updates within HubSpot. + Maintain accurate contact, company, and account information. + Support database integrity through ongoing audits and quality control reviews. + Collaborate with internal teams to ensure data is properly captured and maintained. Executive Support & Cross-Functional Collaboration + Work directly with executives and department leaders to fulfill data-related requests. + Communicate professionally regarding project updates, reporting needs, and data findings. + Handle confidential and sensitive information with discretion. + Collaborate with multiple departments to gather, verify, and organize information. Requirements Qualifications Required Experience + Minimum of 2 years of experience in data entry, data management, database administration, or a related role. + Experience working with large datasets and maintaining data accuracy. + Previous experience utilizing CRM systems, preferably HubSpot. + Experience supporting professional teams, managers, or executive stakeholders. Required Technical Skills + Advanced Microsoft Excel skills required. + Strong proficiency with: + Pivot Tables + VLOOKUPs/XLOOKUPs + Data validation + Sorting and filtering large datasets + Reporting and spreadsheet management + Experience with HubSpot CRM strongly preferred. + Ability to learn new systems and software quickly. Required Competencies + Exceptional attention to detail and accuracy. + Strong organizational and time management skills. + Ability to manage multiple priorities and meet deadlines. + Excellent written and verbal communication skills. + Professional demeanor and ability to interact confidently with executive leadership. + Strong problem-solving and analytical abilities. + Ability to work independently while collaborating effectively with cross-functional teams. Preferred Qualifications + Experience within education, training, nonprofit, or professional services organizations. + Exposure to CRM data cleanup, implementation, or migration projects. + Experience creating reports and maintaining database integrity.
