Job Description

The Field Data Specialist plays a critical support role in maximizing revenue productivity by reducing administrative burdens placed on Field Sales Specialists. This position is responsible for managing customer documentation, collecting required program paperwork, obtaining signatures, coordinating scheduling support, and ensuring files are complete and compliant prior to installation. This role directly supports energy efficiency programs by ensuring all required documents, customer summaries, and scheduling details are properly gathered and submitted. When administrative workflows are current and compliant, the Field Data Specialist may assist with D2D sales efforts, attend sales presentations, and provide additional program support. This position is ideal for a highly organized, detail-oriented individual who is comfortable working both in the field and in administrative systems, and who can provide exceptional service to customers — particularly elderly clients requiring in-person assistance. Core ResponsibilitiesDocumentation & Compliance Management Work closely with CSRs to ensure Customer Summaries are completed accurately and in a timely manner. Collect and verify all required program documentation including: Proof of Income (POI) Utility Bills (UB)

Obtain required physical or electronic customer signatures. Conduct in-person visits when necessary to assist elderly customers with documentation or technical processes. Ensure all files meet program compliance standards prior to job scheduling. Customer Communication & Scheduling Support Partner with CSRs to contact customers and schedule weatherization (WX) jobs. Reach out to customers when CSRs have been unsuccessful in making contact. Assist in scheduling coordination. Update customer contact information in CRM systems. Maintain accurate documentation notes and follow-up logs. Field & Sales Support Support Field Sales Specialists by handling administrative follow-up so they can remain focused on selling. Assist with Door-to-Door (D2D) sales efforts when documentation is current. Attend and support sales presentations and program meetings as needed. Assist with data collection and documentation verification during field visits. Key Performance Indicators (KPIs) Reduction in administrative hours spent by Field Sales Specialists. Percentage of files submitted complete and compliant on first review. Customer contact success rate. Timeliness of document collection and scheduling coordination. Accuracy of CRM updates and file documentation. Required Qualifications High school diploma or equivalent required. 1+ year experience in administrative support, customer service, or field operations preferred. Strong organizational and time-management skills. Ability to communicate clearly with customers, including elderly clients. Comfortable working in both office and field environments. Proficient in CRM systems, email, and digital document platforms. Valid driver's license with acceptable driving record. Must pass background check and drug screen Some Travel and overnight stays may be required Skills & Competencies Detail-oriented with high accuracy standards. Strong follow-up and persistence skills. Professional communication skills. Ability to manage multiple priorities in a fast-paced environment. Customer-first mindset aligned with company service standards.
