Primary Purpose:
Under moderate supervision, provide clerical and technical support for Public Education Information Management System (PEIMS) and Federal and Special Programs. Assist with data collection, verification, reporting, record maintenance, and compliance activities to ensure adherence to local, state, and federal requirements.
Qualifications:
Education/Certification:
College degree or some college preferred High school diploma or GED required
Special Knowledge/Skills:
Solid knowledge of PEIMS, Texas Student Data Standards (TSDS) and TEC Chapter 37 Knowledge of Skyward Student Information System. Ability to maintain accurate and auditable records. Ability to use personal computer and software to develop spreadsheets, databases, perform data analysis, and do word processing. Proficient in keyboarding, 10-key numerical data entry, and file maintenance skills. Ability to perform basic math. Ability to meet established deadlines. Strong organizational, communication, and interpersonal skills. Ability to understand detailed written and oral instructions.
Experience:
Five years of experience in school district or campus secretarial/administrative support position requiring collecting and entering data (Skyward preferred); experience using coding systems.
Major Responsibilities and Duties:
PEIMS Support Assist with the collection, verification, and reporting of all data required for PEIMS submission according to Texas Education Agency PEIMS Data Standards. Work cooperatively with campus, business office, and personnel office staff to ensure data accuracy and maintenance of audit documentation. Generate, review, and analyze PEIMS reports to identify errors, discrepancies, and compliance concerns prior to submission. Monitor PEIMS validation reports, fatal errors, special warnings, and other reports. Work with appropriate staff to resolve discrepancies. Verify data submitted to TEA and submit corrections in a timely manner. Federal and Special Programs Support Track and verify teacher certification information and assist with compliance reporting related to highly-qualified and ESL certified staff. Create and process requisitions and purchase orders in accordance with district purchasing procedures and program budgets. Monitor purchase orders, invoices, and receiving documentation to ensure compliance with district, state, and federal guidelines. Assist with collecting, organizing, and maintaining documentation required for federal and state program audits and compliance reviews. Training and Technical Support Provide technical assistance and training to campus and district staff regarding PEIMS coding, data entry procedures, and reporting requirements. Stay current on reporting data standards, requirements, and reporting guidelines. Attend and actively participate in local, regional, and state meetings related to Federal Programs, PEIMS, TSDS, data management, Skyward, and other assigned responsibilities. Other Comply with policies established by federal and state law, State Board of Education rule, and local board policy and procedures. Compile, maintain, and file all reports, records, and other documents as required. Follow district safety protocols and emergency procedures.
