Job Description
Join our dynamic team, here at The War Memorial! We are currently looking to fill the role of Development Administrator . The Development Administrator plays a critical role in supporting the fundraising and donor engagement efforts of the organization. This position is responsible for maintaining the integrity of donor data, producing reports and analytics, coordinating administrative fundraising activities, and ensuring timely donor communications. Essential Responsibilities
- Maintain the donor database with a high level of accuracy and attention to detail.
- Enter, update, audit, and manage donor records.
- Pull routine and ad hoc reports to support fundraising initiatives.
- Analyze donor trends, giving history, and campaign performance.
- Ensure data integrity by identifying and correcting inconsistencies.
- Coordinate donor acknowledgements and tax receipts.
- Prepare mail merges for appeals, newsletters, invitations, and stewardship efforts.
- Assist with the Annual Appeal campaign, including tracking responses and maintaining mailing lists.
- Support annual sponsorship campaigns by maintaining prospect lists, tracking commitments, and preparing materials.
- Track payroll deduction giving and other recurring gift programs.
- Maintain accurate records of sponsorships, donations, and fundraising activities.
- Prepare reports and dashboards for leadership and the Development Committee.
- Assist with donor stewardship activities and follow-up communications.
- Answer donor inquiries professionally and courteously.
- Help coordinate fundraising events and donor recognition efforts.
- Support cultivation activities by preparing donor profiles, reports, and meeting materials.
- Create and maintain Excel spreadsheets and tracking tools.
- Identify opportunities to improve department processes and efficiencies. Demonstrate the ability to work effectively in a team environment and support the Strategic Plan. Must be able to perform the essential functions of the job with or without reasonable accommodation.
- Assist with special projects and other duties as assigned.
Qualifications Required:
- Associate's or Bachelor's degree or equivalent professional experience.
- Strong proficiency in Microsoft Excel, including formulas, sorting, filtering, and data analysis.
- Excellent organizational skills with exceptional attention to detail.
- Comfortable learning and using database software and technology.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while meeting deadlines.
Preferred:
- Experience working with CRM or donor database software.
- Experience with reporting tools and data analysis.
- Experience with mail merge and Microsoft Office Suite.
- Experience in nonprofit administration, customer relationship management, sales operations, higher education advancement, banking, or administrative support.
