A Brief Overview The Development Assistant is a fundraising professional who is primarily responsible for assisting the Database Manager in the operation, configuration, and maintenance of Holy Name Foundation database (Raiser's Edge) and any associated computer systems as well as helping the Development Staff with all fundraising programs and events as needed. The Development Assistant will maintain accurate gift accounting processes and procedures, including but not limited to acknowledgement letters, gift entry, and creation of mail files and preparation of all check requisitions for the Foundation. This position requires a comprehensive understanding of gift processing principles and practices, a high level of professionalism and organization, self-motivation, and collegiality. There will be collaboration with the Foundation team to ensure prospect records in relation to the gift and solicitation process are kept up-to-date and accurate. What you will do
  • Under the guidance of the Database Manager, generate acknowledgment letters for all gifts received
  • Follow protocol for standardized gift processing by Foundation staff
  • Enter donor data accurately including: gifts, demographic information, relationships, and contact management data; ensure database is maintained and updated
  • Ensure the quality and integrity of all new and existing data by following department's protocols and procedures
  • Maintain accuracy on contact information, including returned mail, outdated telephone numbers, and outdated email addresses and update staff
  • Maintain confidentiality of highly sensitive information
  • Under the guidance of the Database Manager, create and complete accurate and special acknowledgement and notification letters
  • Generate "in honor of" and "in memory of notification letters" as needed
  • Manage payroll deduction inputting of gifts
  • Support the Database Manager on a variety of projects and standard reports
  • Provide support to the department for Foundation special events, event RSVP tracking and other fundraising activities as needed
  • Support others in the organization with creation of records and contacts
  • Process invoices for the Foundation
  • Maintain office supply inventory
  • Serve as point of contact between Foundation staff and IT/Help Desk
  • Set up meetings, manage calendar appointments. Help with presentations and other special projects as directed
  • Oversee the Development Strategic calendar and provide key project management support
  • Be responsible for the general Foundation email and main phone
  • Perform other tasks and duties as needed. Specifically serve as backup for the Database Manager Education Qualifications
  • Bachelor's Degree preferred Experience Qualifications
  • 3-5 years in a professional experience, preferable in a non for profit setting Knowledge, Skills, and Abilities
  • Working knowledge of Raiser's Edge or similar CRM databases
  • Strong administrative and organizational skills and attention to detail
  • Outstanding oral, written, and interpersonal skills, ability to proof-read with accuracy
  • Ability to multitask and manage various projects at any given time
  • Ensure follow-up when answers are needed
  • Ability to collaborate with internal stakeholders and external donors
  • Excellent problem-solving, solution-setting and organizational skills
  • The ability to work within an environment that emphasizes teamwork as well as individual initiative
  • Excellent computer skills including, Word and Excel
  • Willingness to listen carefully and communicate clearly with others and take direction, including resolving issues for donors and event participants
  • Maintain a professional, discrete and considerate demeanor
  • Strong work ethic; be collaborative, conscientious and results-oriented
  • Motivated to learn, and to display flexibility when required

Pay Range:
$52,000-$59,800 Holy Name is a mission-driven facility whose quality standards and philosophy are rooted in the principles of its founders, the Sisters of St. Joseph of Peace.
