Association Management System & Database Administrator 1800 South Oak Street, Champaign, IL 61820 Hybrid work $52,537.70 - $63,271.21 a year - Full-time $52,537.70 - $63,271.21 a year - Full-time Job Summary In coordination with the rest of the IT department, responsible for the administration, maintenance, and integrity of the organization's Association Management System (AMS), ClearVantage, and its supporting technologies. This includes managing day-to-day system operations, configuring and maintaining application settings, ensuring data integrity, generating accurate reporting, supporting Accounting with financial transaction processing and reconciliation, responding to member and customer inquiries, and providing on-site support for society conferences. Accountabilities Primary Responsibilities Administer and Maintain the ClearVantage AMS and Supporting Systems Serve as the primary administrator of the ClearVantage AMS, including day-to-day operations, configuration, setup, and application-level maintenance Maintain the integrity of data held within the system, including identifying and purging duplicate or spam records and accurately importing new data Configure and manage online forms, registration workflows, and member-facing processes within ClearVantage Develop and generate accurate reporting using ClearVantage's built-in reporting tools, as well as SQL and SSRS where needed Coordinate with the ClearVantage software provider to troubleshoot and resolve system issues Instruct staff on proper data entry, financial processing procedures, and AMS best practices Perform supplemental database work in Microsoft SQL Server and Access in support of AMS operations Secondary Responsibilities Support the Accounting Department with Financial Processing and Reconciliation Process daily financial transactions within ClearVantage and support their accurate import into the organization's financial system Troubleshoot and resolve issues arising from financial data imports when they occur Assist with reconciling accounts receivable and cash account balances Run monthly credit card reconciliation procedures, comparing ClearVantage charges to bank account records, including accessing the credit card processor's portal as needed Maintain the Society Billing Access database in support of accounting operations Provide supporting reports for audits Additional Responsibilities Conference and Customer Support Configure and set up online conference registration forms within ClearVantage Produce badges, receipts, and certificates of attendance for conferences Provide on-site technical and registration support at conferences Balance and post on-site registration financial batches Investigate and respond to member and customer service inquiries Support and maintain ADSA Job Resource Center postings Required Knowledge, Skills, and Abilities Knowledge Advanced knowledge of association management systems, application administration, and data management Working knowledge of basic accounting principles, including account codes and debit/credit concepts as they relate to financial transaction processing Intermediate knowledge of SQL and relational database concepts Familiarity with report development and data analysis Technology Proficiency Advanced — ClearVantage or comparable Association Management Software Intermediate — Microsoft SQL Server Working knowledge — Microsoft SQL Server Reporting Services (SSRS) and Microsoft Access Proficient — Microsoft Office suite (Excel, Outlook, Word, PowerPoint) Familiarity — Credit card processing portals Skills Excellent verbal and written communication skills Outstanding customer service skills Sound analytical, problem-solving, and critical thinking abilities Quick and accurate data entry Ability to translate technical information for non-technical staff Abilities Active listener who can identify underlying issues behind reported problems Adaptable and able to manage shifting priorities Able to handle sensitive financial and member data with strict confidentiality Highly organized with strong attention to detail Able to plan, prioritize, and see projects through to completion Able to work effectively with people across all levels of the organization Exercises sound judgment and works independently when appropriate Education and Experience Education Associate's degree or higher in Computer Science, Information Systems, Business, or a related field required; equivalent work experience will be considered Experience Minimum of 2 years of experience administering an Association Management System or similar business application; 3 or more years preferred Experience with ClearVantage is a plus Certifications Relevant certifications in application administration, database management, or related areas are a plus
