Position:
To support the Information Manager in managing project data and documentation accurately, efficiently and securely across all phases of design and construction. Working collaboratively with teams spanning engineering, digital, and construction disciplines, you'll develop and implement standards, systems and processes that enable seamless information flow, driving consistency, compliance and innovation throughout the project.
Key Responsibilities and Duties:
Including but not limited to: Assisting the Information Manager to deliver an exceptional information management service to the project. Prepare, agree and communicate project Information Standards and Methods & Procedures, working with Digital Engineering and Regional IM teams. Manage the Electronic Document Management System (EDMS) and the Information Management System (IMS) — ensuring accuracy, accessibility, and security of data. Define roles and responsibilities within the Information Management team, supporting recruitment, development, training and retention. Deliver training on information management systems and document control processes to project staff. Coordinate and compile project reporting, including client reports, performance summaries and system analytics. Oversee the quality and compliance of document control and administrative procedures. Facilitate project collaboration tools such as SharePoint, Teams, and mobile applications for field-based processes. Manage the production of the Digital Health & Safety File, ensuring compliance with project requirements. Support the project team in digitising workflows and utilising technology to improve efficiency and consistency. Ensure secure data handling and access rights in line with client and project governance standards. Maintain archiving procedures and records management throughout the project lifecycle. Provide tendering support and training for the Procurement team. Attend information management peer groups and contribute to continuous improvement initiatives. Governance and Stakeholder Interfaces The Assistant Information Manager will maintain strong relationships and typically interface with: Business Unit General Manager Information Manager Head of BIM & Digital BIM Managers Planners Lead Design Engineers Client representatives Internal Design Teams Person Specification The ideal candidate will demonstrate a strong mix of technical Information Management expertise, Document Control, sector-specific experience, and a collaborative approach to project delivery. They will be able to work independently whilst enjoy being part of a friendly, ambitious and growing team. Essential Qualifications and Experience Proven experience in Information Management within major infrastructure or complex construction projects. Strong working knowledge of PAS 1192 and
ISO 19650
standards. In-depth understanding of construction project lifecycles and digital handover processes. Proficiency in using EDMS systems (preferably Asite) and collaboration platforms. Knowledge of quality management systems and digital field tools such as Field View. Excellent communication and stakeholder management skills. Ability to work under pressure, prioritise effectively and meet deadlines. Strong organisational and analytical skills with a methodical approach to data management. Experience in managing small teams and supporting staff development. Demonstrable track record in the management of information systems and digital processes on major projects. Experience in team leadership, system training and stakeholder engagement. Desirable Criteria Familiarity with Power BI or similar data visualisation tools. Strong presentation and facilitation skills. Ability to identify and drive process improvement initiatives. Experience managing or supporting large data-driven project environments.
