Full Job Description Description:
Eisner, LLP is seeking a detail-oriented and proactive Information Governance & Records Specialist to join our Beverly Hills office. This role will also provide remote records support to our New York office. As our Records Specialist, your strong organizational skills and service-first mindset will be central to keeping the firm's records program running smoothly. You will manage the full lifecycle of physical client files for our Beverly Hills office, coordinate with our off-site storage vendor, and support attorneys and staff across both offices with file intake, transfer, and release. Our New York office operates entirely on electronic records, so all support for that team is handled remotely. Attorneys and legal assistants manage their own day-to-day filing within iManage; you will support and maintain that environment, assist with questions, and help build better practices and standards over time. This is a role with real room to grow. The firm is in the process of selecting a records management system and developing a more structured electronic records program, and this person will be a key contributor to that effort. If you enjoy bringing order to things, working across a variety of responsibilities, and being part of building something, this is a great opportunity. As part of a close-knit team of approximately 70 professionals across both offices, you will also contribute to the broader operations of the firm. This includes serving as backup to our Facilities/Office Support Supervisor and assisting with general office operations as needed. Responsibilities include:
Managing physical client files for the Beverly Hills office, including intake from lateral hires and co-counsel, retrieval, transfer, release, and coordination with our off-site storage vendor Processing file release and transfer requests in compliance with firm policy and applicable California and New York bar rules Supporting the iManage document management system, assisting attorneys and staff with filing questions, and helping to clean up and standardize the existing environment over time Providing remote electronic records support to the New York office Assisting with the implementation of an incoming records management system, including data migration, testing, and rollout in coordination with IT Applying firm retention schedules and assisting with records disposition, including preparation of destruction authorizations and maintenance of destruction logs Assisting with legal holds and ethics wall requests on an as-needed basis Managing firm subscriptions including Westlaw, Lexis, and other practice support databases, tracking renewals and usage, and coordinating with vendors and practice groups Providing backup support to the Facilities/Office Support Supervisor and assisting with general office operations including copy, mail, supply ordering, vendor invoicing, and facility coordination
Requirements:
The ideal candidate will have: 3 to 5 years of records experience in a law firm or professional services environment Familiarity with iManage or a comparable document management system; prior law firm DMS experience preferred Experience coordinating with off-site records storage vendors Excellent organizational skills and strong attention to detail The ability to communicate professionally and effectively with attorneys, staff, clients, and vendors at all levels Comfort working in an environment where some processes are still being developed, with the initiative to build structure where it does not yet exist A flexible, team-oriented approach and the ability to thrive in a fast-paced environment High School Diploma or GED required; relevant degree or CRM/IGP certification a plus Ability to lift and carry up to 25-30 lbs in connection with records and office supply handling. Ability to bend, stoop, and reach in connection with file and supply management activities. Ability to sit or stand for extended periods.
