Sleep Center Hoag Health System - 4.0 Newport Beach, CA Job Details Full-time 16 hours ago Qualifications Overseeing health insurance pre-certification Medical insurance coverage verification Administrative experience High school diploma or GED Clinical information systems Productivity software Order processing Quality data entry Full Job Description The Clinical DME Data Coordinator provides a wide range of support for the sleep department DME team by collecting data, conducting insurance verification and collaborating with DME sleep technologist and all team members on priorities identified by the department leadership. Using appropriate tools and internal/external databases, documents relevant performance metrics and resolves data discrepancies, helps call and coordinate with patients and DME suppliers.
DME Coordination :
Functions as a liaison between DME suppliers and patients. Coordinates end to end DME workflows for PAP, oxygen, and related sleep therapy equipment. Ensure the timely processing of DME orders. Audits and reviews accuracy of documentation. Documents in EPIC all patient encounters and encounters with DME companies. Monitors patient compliance within Medicare guidelines and other payer requirements. Monitors PAP compliance data, downloads patient therapy reports, and prepares summaries for providers and DME technologists to support clinical decision making.
Data Management :
Collects clinical and qualitative data, provides baseline metrics and continual measurements for quality improvement. Develops dashboards and routine reports tracking for turnaround times, authorization rates, setup success rates, return to clinic outcomes, and patient adherence metrics. Assists in the creation, refinement, and maintenance of metric tracking tools for DME performance, throughput, patient engagement, and financial indicators. Identifies trends in patient compliance and DME utilization to support continuous improvement initiatives and provider education. Identifies and benchmarks relevant performance metrics and resolves data discrepancies. Supports the SURFS application in operational functions, regulatory requirements, efficiency, and quality to improve safety.
Sleep Technologists and Provider Support :
Validating prescriptions, reviewing sleep study results for DME qualification, and ensuring proper coding and documentation for billing. Communicates proactively with patients to explain therapy requirements, DME processes, equipment expectations, and next steps to support initiation of PAP therapy and long-term adherence. Serves as a key point of contact for internal and contracted DME suppliers to troubleshoot delays, resolve missing documentation, expedite urgent orders, and coordinate post setup follow up. Other related duties as assigned. Education and Experience High school diploma required. Minimum of two (2) years' experience in regulatory registry data gathering and entry with general front office and insurance authorization experience and or administrative experience, preferably in a healthcare or sleep lab setting Experience and or training with healthcare information system and terminology Knowledge of applications in one of the functional areas (e.g. scheduling, clinical orders, revenue cycle) Associate's Degree or Bachelor's Degree preferred Strong knowledge of Microsoft Office Suite.
