In this role, you will serve as a primary front-line representative, answering incoming phone calls, managing client correspondence, and directing individuals to vital community resources and services. Key Responsibilities Client Support & Intake:
Professionally answer high-volume incoming calls, greet walk-in visitors, transcribe voicemails, and direct callers to the appropriate resource or team member with empathy and clarity.
Front Desk & Administrative Operations:
Manage incoming and outgoing mail, process faxes, and handle document management system updates.
Documentation & Reporting:
Prepare forms, letters, spreadsheets, labels, and related clerical documentation to support team operations.
Office Logistics:
Serve as administrative back-up for centralized printing, mailing, and postage functions.
Special Projects:
Support internal teams with special projects, community outreach, and organization-wide initiatives as needed.
Qualifications & Requirements Language Skills:
Must be fully bilingual in English and Spanish with clear verbal and written communication skills. (Additional fluency in Creole is a plus!)
Education:
High School Diploma or GED required.
Experience:
Minimum of one (1) year of professional administrative, customer service, or office experience.
Technical Proficiency:
Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and internet search engines/data management systems.
Interpersonal Skills:
Outstanding active listening abilities, patience, and a compassionate, customer-focused mindset when communicating with diverse individuals and community partners.
Sitting for extended periods while working on a computer and engaging on the phone with clients. Minimal light lifting up to 20 lbs may be required occasionally.
