Full Job Description Objective:
The Member Services & Systems Coordinator serves as the primary administrator of NJHA's Association Management System (AMS) and membership data infrastructure. This role is responsible for ensuring the accuracy, integrity, and governance of all member organization and contact records. The Coordinator, maintains distribution lists and reporting structures, and supports member communications and engagement initiatives through effective system management. This position plays a critical operational role in maintaining the quality and reliability of NJHA's membership data and member-facing systems. Equipment Used to
Perform Essential Functions:
Computer, telephone, association management system (AMS), email marketing platforms, Microsoft Office Suite, and related software applications.
Essential Job Functions:
Serves as the primary internal administrator of the Association Management System (AMS). Maintains accurate and up-to-date records for member organizations, executives, and key contacts. Proactively monitors and updates membership changes, including employee departures, leadership transitions, and role updates. Conducts routine audits of membership data to ensure completeness and data integrity. Establishes and maintains standardized procedures for data entry and record updates. Generates membership and contact reports to support internal planning, communications, and events. Provides internal support and troubleshooting for staff utilizing the AMS. Oversees day-to-day administration of the membership portal. Manages user access, permissions, and account support for member organizations. Coordinates portal content updates in collaboration with internal departments. Ensures portal information remains timely, accurate, and aligned with organizational priorities. Maintains and updates distribution lists and listserv groups within the AMS and related platforms. Ensures alignment between AMS data and email marketing systems to support accurate communications. Assists in preparing and posting content to the membership portal and related member-facing platforms. Supports event registration tracking and reporting through the AMS. Maintains accurate constituency group rosters and distribution lists. Assists Communications and Member Relations teams with additional projects as needed.
Qualifications:
Two to five years of experience in association management, membership operations, data administration, or related field preferred. Experience working with an Association Management System (AMS) strongly preferred. Strong organizational skills and attention to detail. Demonstrated ability to manage data accurately and consistently. Proficiency in Microsoft Office and database systems. Strong written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a collaborative environment
Base Salary Range:
$60,000 - $75,000
