With locations in Phoenix and Washington, D.C., the Institute is expanding its national reach and impact through innovative programs, research, and partnerships. Position Summary This position serves as the central systems and records coordinator. Based in Phoenix, this position collaborates closely with program and development staff, and interfaces with all departments. Responsibilities include ensuring accurate data entry and management for grant and donor administration, Institute programs applications and rosters and other data-related tasks as assigned. Core Responsibilities 1. Data & Gift Records Utilize Raiser's Edge NXT to maintain accurate records Create and run basic queries, lists, and exports to support mailings, events, and reports Assist with gift acknowledgement logistics: pulling lists, tracking acknowledgements, and preparing standard letters Support basic reconciliation and data consistency with the Finance team 2 . Development & Grants Support Track grant reporting deadlines to ensure required information is prepared and accessible for senior staff. Provide support to Development team Donor and foundation research as directed Assist in assembling materials for donor meetings as needed 3. Operations & Administrative Support Maintain organized shared digital files for program and development documentation Assist with scheduling, material prep and administrative tasks supporting program and development workflows Coordinate with the Phoenix logistics team when events require hands-on efforts (supplies, check-in lists, name badges, shipments, etc.) What Success Looks Like Clean, accurate, dependable data in RENXT Reliable administrative follow-through that frees senior staff to focus on strategy and programming Positive, collaborative relationships with fellow staff members. Qualifications Bachelor's degree or equivalent experience 2-3 years of data-heavy or administrative experience Raiser's Edge NXT experience Microsoft Excel skills and overall digital organization Exceptional attention to detail and accuracy, consistency, and follow-through Clear written and verbal communication, especially via email Ability to handle multiple tasks in a fast-moving, collaborative environment Interest in civics, education, or nonprofit work and alignment with the Institute's nonpartisan mission
Compensation & Benefits Salary:
