Job Description

Summary of Functions The Public Safety Administrative Coordinator provides a variety of public safety emergency services. In addition to their Essential Duties and Responsibilities, the Public Safety Administrative Coordinator will assist the Operations Specialist and/or the Public Safety Administrative Advisor as needed in their duties. The Public Safety Administrative Coordinator serves as the initial contact for services that may include medical/fire/law enforcement emergencies. Must have an education and/or experience in the field of Public Safety. Essential Duties and Responsibilities Operate telephone systems to answer and route incoming and interoffice calls, along with taking and delivering messages, scheduling appointments, and managing call routing based on requests and department policies. Research records upon request and maintain logs of requests by tracking the movement of files and information through schedules and calendars to ensure no records are lost or misplaced. Provide customer service to individuals requesting records or information while also following department guidelines and observing any legal restrictions on information sharing. Process, file and organize records and files according to department policies and procedures in both computer and paper filing systems. Provides redacting of body camera videos for various reasons. Organize and schedule meetings and appointments. Scanning and archiving police case files into an online database. Produce and distribute correspondence memos, letters, faxes and forms. Provide general support to visitors and provide information by answering questions and requests. Maintain office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. This includes any evidence supplies. Using an internal system to submit and accept orders. Assist the Operations Specialist with compliance issues. Maintain computer and manual filing systems. Handle sensitive information in a confidential manner. Receive, sort and distribute the mail. Preparing new files and setting them up in both the computer and paper systems according to company procedures to ensure information is complete and files are included in all systems Compose correspondence to external and internal parties as requested. Charge, record and process payments or fees by cash, credit card or check Perform a variety of clerical duties and projects including but not limited to assisting with copying, faxing, printing, filing, creating reports, and picking up & delivering mail. Properly identify and log all visitors/employees entering the Kalispel Tribal Public Safety Building and maintain building security while on duty. Schedule KTPSD trainings/meetings. Make travel arrangements for KTPSD staff. Complete online training and testing every year to maintain ACCESS Certification. Review and maintain the BWC (body worn camera) online system and physical equipment. Maintain the evidence room by organizing, auditing, and purging. Along with this, will be preparing and working with the city/EPA to create a log anytime that disposals occur. Review the BIA handbook to keep evidence system in compliance. Complete required tasks such as annual evidence room inventory checks. Return items from safekeeping to their owner and complete all needed paperwork and checks. Assist officers as needed. Read and review all files. Plan, schedule, and execute community events. Plan, schedule, and execute internal events. Work with the legal department regularly on forfeitures, cases, and general questions Work with other public safety departments as needed. Work with Tribal Gaming Agency as needed. Provide discovery and case information to Prosecutor's Offices such as: Spokane County, Airway Heights, Tribal, and Pend Oreille County prosecutors. Provide reports/information to other law enforcement agencies (ie DOC, Airforce, etc) Handle and review confidential information such as reports, photos, surveillance videos, BWC video, etc. to determine when and to whom these items may be released. Additional Functions Additional duties as assigned. Supervisory Responsibilities This position has no supervisory responsibilities. Qualifications Knowledge of and willingness to work in a 24 hour, 7 days a week operation. Must possess excellent customer relations and customer service skills. Familiarity with Windows Office Suite 2010 including Outlook, Power Point, Excel, Word and related software to correspond, input information and produce reports as required. Must be able to work independently and maintain a consistent, good attendance record Demonstrated skills in identifying and resolving problems in high-pressure conditions. Excellent organizational, communications and interpersonal skills. Willingness to perform additional duties. Be flexible with work location and time as needed. Able to work on multiple systems at once. Ability to adapt to changes within programs. Maintain general knowledge of law, including KLOC. Certificates, Licenses, Regulations Must have a valid driver's license and be eligible for Tribal vehicle Insurance. Must take a defensive driving course after hiring. Must pass a level 3, Tribal Work Permit employee background check. Must become ACCESS level 1 certified within three (3) months of beginning employment. Must take a CJIS Evidence Management Course Must take FEMA Incident Command Classes as assigned. Work Environment This position is performed primarily in an office environment. Significant portions of the job require extended sedentary periods; frequent work with computers, including extended period of keyboarding; and repetitive motion of hands and wrists. Due to the nature of the Emergency Management business, confidentiality is required. Frequently requires the ability to receive detailed information through oral communications and to make fine discrimination in sound. Occasionally involves heavy work, exerting up to 50 pounds of force and/or a negligible amount of force to lift, carry, push, pull or otherwise move objects, including the human body. Occasionally may be required to lift and/or move up to 50 pounds. This position requires occasional local travel and infrequent out-of-town travel.
