Facilities & IT Operations Manager This is a part-time position About Us Playabilities for Sensational Kids is a dynamic, multi-disciplinary pediatric clinic specializing in occupational, physical, and speech therapy. We provide personalized, innovative, and client-centered therapy services to children with neurodevelopmental disabilities, including developmental delays, autism, and sensory processing disorders. We are seeking a highly independent, solutions-oriented Facilities & IT Operations Manager to support operations across our three pediatric therapy clinics. This role is responsible for ensuring that each clinic is safe, functional, consistent, and fully operational without requiring day-to-day direction. This is not a task-based role. You are expected to identify issues, make decisions, and see solutions through to completion. When something breaks or isn't working as it should, your instinct is to assess, prioritize, and resolve it. What You'll Be Responsible For Lead day-to-day facility operations across multiple clinic locations Manage vendor relationships, performance, and service agreements Serve as the primary liaison for IT operations and support Maintain consistent, high-quality clinic environments and infrastructure Proactively identify and resolve facility and operational issues
RESPONSIBILITIES
Facilities Operations (Execution & Upkeep) Oversee the day-to-day functionality of all clinic locations, adapting to different lease structures (landlord-managed vs. self-managed) Coordinate and schedule vendors for HVAC, plumbing, electrical, painting, handyman services, lawncare, cleaning, inspections, etc. Troubleshoot and resolve facility issues including appliances, doors, lighting, WiFi, and general infrastructure Maintain safety and compliance standards (fire inspections, security systems, building requirements) Ensure consistent clinic appearance and experience across all locations (lobbies, signage, overall environment) Manage routine maintenance planning such as seasonal HVAC servicing and ongoing facility upkeep Vendor Strategy & Performance Management Serve as the primary point of contact for all facility and operational vendors Evaluate vendor performance, pricing, and responsiveness Identify opportunities to improve service quality or reduce costs Negotiate pricing, service agreements, and contract terms when appropriate Manage relationships with landlords and building management teams Maintain organized records of vendor accounts, warranties, and service schedules IT Operations (Liaison & Coordination) Act as the primary internal contact for IT-related needs, coordinating with our managed service provider Ensure tickets are submitted, tracked, and resolved in a timely manner Support clinic teams with basic troubleshooting (WiFi, printers, iPads, cameras, access systems) Maintain awareness of system capabilities such as mobile device management (iPads), security systems, and network infrastructure Identify recurring issues and work with Managed Service Provider partner to implement long-term solutions Operations & Purchasing Coordinate purchasing of facility-related supplies, equipment, and replacements Track and manage select facility-related expenses where applicable Ensure cost-conscious decision-making while maintaining quality and reliability How You'll Work This role includes a mix of planned, proactive work and responsive issue management. Urgent issues (clinic unable to operate): same-day response and coordination High-priority issues (impacting operations): addressed within 24 hours Routine maintenance and improvements: scheduled and completed proactively Most work should be planned and blocked in advance, but flexibility is required to respond to unexpected issues. Who You Are Self-directed and comfortable working independently without daily oversight Strong problem-solver who takes initiative and follows through Able to assess situations, prioritize effectively, and make sound decisions Organized and capable of managing multiple locations and competing priorities Clear communicator who can coordinate across vendors and internal teams Resourceful and calm under pressure when issues arise Work Environment & Collaboration This role operates independently while collaborating with colleagues in the administrative offices and at each clinic. You will play a key role in ensuring clinic operations run smoothly without disrupting patient care. Other duties as assigned.
EDUCATION
: High school diploma or equivalent required. Associate's or Bachelor's degree in a related field (business, operations, facilities, IT, or similar) preferred but not required
EXPERIENCE
Experience in facilities coordination, property management, or operations Familiarity with vendor management and service agreements Exposure to IT operations and working with managed service providers Experience with WiFi networks, printers, mobile device management (iPads), or security systems is a plus
SKILLS/LICENSURE/CERTIFICATION/KNOWLEDGE
Core Skills Strong troubleshooting skills across facilities and basic IT systems Ability to prioritize and manage multiple issues across locations simultaneously Vendor coordination and communication skills Basic contract awareness and comfort reviewing service agreements Budget-conscious decision-making Technical Knowledge Familiarity with WiFi/network troubleshooting (routers, outages, service providers like Google Fiber or AT&T) Experience supporting or coordinating: Printers and office equipment Security/access systems (ex: access control on doors) Camera systems (ex: Google/Nest or similar) Exposure to mobile device management (MDM) for iPads or tablets Experience working with a Managed Service Provider (MSP) or IT helpdesk model You do not need to have experience in all areas listed above. We are looking for someone who is resourceful, willing to learn, and able to figure things out quickly.
PHYSICAL DEMANDS
Ability to move between multiple clinic locations as needed Ability to walk, stand, and move throughout clinic environments for extended periods Ability to lift and carry up to 25-30 pounds occasionally (supplies, equipment, small tools) Ability to perform light maintenance tasks such as changing light bulbs, adjusting equipment, or minor repairs Ability to bend, reach, kneel, and use a step stool or small ladder as needed Ability to use a computer, phone, and other standard office equipment regularly

WORK ENVIRONMENT
This role operates across multiple clinic locations within the Kansas City metro (Lenexa, Leawood, and Prairie Village) and includes a mix of on-site and remote work. The position is largely self-directed, with the flexibility to plan and block work time in advance. Most responsibilities can be scheduled proactively; however, occasional flexibility is required to respond to urgent facility or operational needs. Work takes place in active pediatric therapy clinic environments, requiring coordination with clinical and administrative teams while minimizing disruption to patient care. This role involves regular interaction with external vendors, service providers, and building management, as well as collaboration with internal team members across locations
