Job Summary The Politics and International Relations Department is currently seeking a Temporary Interim Administrative Services Clerk to join their team of professionals.
Duties include:
Performs day-to-day duties tasks such as typing, filing, scanning, faxing, answering and handling scheduler related telephone calls or emails. Work alongside of Undergraduate Program Director / Online Learning Director to manage scheduling projects and activities including planning, initiation, and coordination implementation; initiates and coordinates all adjuncts personnel transactions for the department. Coordinates on matters related to adjunct hiring, contracts, and onboarding, as well as credentialing. Orients the adjuncts to department. Handles confidential HR issues concerning adjunct professors. Communicates with Adjuncts to ensure a thorough understanding of their course assignments and assisting them with any issues or concerns. Coordinates requests from adjuncts of necessary course materials, as needed. Responsible for room searches for meetings, events, workshops or colloquiums. Input course schedule and information for the department into the Online Class Management (OCM) portal; coordinate all aspects of course scheduling and Office of Class Management (OCM) tasks, processes, and procedures. Makes changes or prepares tickets for changes to course schedules. Manages and coordinates override requests/permits process. Coordinate, schedules and arranges meeting spaces and room reservations throughout the university reservation system. Coordinates specific activities, tasks, and assignments for the department (i.e., ceremonies, departmental conferences, functions, events, holiday parties, etc.), as well as project-oriented activities alongside of the office manager. Assists the PIR Department and Pre-Law Coordinators with ongoing assignments (i.e. flyers, social media posts, webpage, etc.). Assist Admin. Services Coordinator with overflow of expense reimbursements for faculty and also with book orders. All other general clerical duties associated with the position not listed herein. Minimum Qualifications High School Diploma or GED and 2 years of experience; OR an equivalent combination of relevant education and/or experience. Desired Qualifications Prior knowledge of scheduling is necessary. Prior departmental workload experience.
