$65,000 - $70,000 annually About PBS Facility Service PBS Facility Service is a growing facility services company providing janitorial, concierge, security, handyman, engineering, and facility support services throughout the New York metropolitan area. We are seeking an experienced HRIS & Workforce Systems Administrator to help manage and improve the systems that support our workforce. This role serves as the primary administrator for Viventium, Epay Time Plus, recruiting, benefits, and other workforce systems. The position works closely with department leaders to improve workflows, strengthen reporting, and ensure employee information is accurate throughout the entire employment lifecycle. What you will do Workforce Systems Administration

  • Administer Viventium, Epay Time Plus, recruiting, benefits, and related workforce systems.
  • Configure and maintain employee records throughout the employment lifecycle.
  • Manage system security, user access, and permissions.
  • Coordinate with software vendors regarding system enhancements and support. Workforce Data Management
  • Maintain accurate employee information across all workforce systems.
  • Process approved employee changes, including hires, transfers, promotions, compensation changes, leaves, and terminations.
  • Perform regular audits to ensure data accuracy and compliance.
  • Support union workforce administration, including classifications, seniority, and wage information. Payroll and Timekeeping Support
  • Maintain workforce data that supports accurate payroll processing.
  • Audit employee records and timekeeping information prior to payroll.
  • Investigate and resolve workforce data discrepancies in partnership with Payroll and Operations.
  • Administer Epay Time Plus and support timekeeping processes. Reporting and Process Improvement
  • Develop workforce reports, dashboards, and analytics for management.
  • Identify opportunities to improve HR and workforce administration processes.
  • Support system implementations, upgrades, and automation initiatives.
  • Document workflows and maintain system procedures. Training and Internal Support
  • Train managers on workforce systems and business processes.
  • Provide workforce systems support to Human Resources, Payroll, Operations, and Finance.
  • Serve as the company's primary resource for workforce systems administration. What it takes to be successful Required
  • Minimum five years of HRIS or workforce systems administration experience.
  • Experience supporting large hourly workforces.
  • Experience working with union employees.
  • Experience administering HRIS and timekeeping systems.
  • Advanced Microsoft Excel skills.
  • Strong analytical, organizational, and problem-solving abilities.
  • Bilingual in English and Spanish a must. Preferred
  • Experience with Viventium a plus.
  • Experience with Epay a plus.
  • Experience with recruiting and benefits administration platforms.
  • Experience improving HR processes and system workflows.
  • Experience in facility services, property management, hospitality, security, or a similar service industry a plus.
