Job Description
Overview Are you a proactive, data-driven HR professional who thrives on system integrity and operational excellence? We are looking for a detail-oriented HR Operations & Systems Specialist to join our human resources team. In this role, you will be the backbone of our HR systems and processes, ensuring seamless operations across various HR functions. You will serve as the technical and financial engine of the department, ensuring the accuracy of employee records, maintaining the integrity of our Human Capital Management (HCM) system, and providing the critical analytics that drive strategic HR initiatives and informed organizational planning. Key Responsibilities Systems & Data Audit:
Serve as the primary technical resource for our HR team. Audit HCM change requests for policy and union contract compliance, and resolve workflow bottlenecks.Financial Oversight:
Perform monthly audits of HR-related invoices (benefits, union payments) and reconcile billings against payroll deductions to ensure accuracy and prevent overpayments.Compliance Administration:
Manage the full lifecycle of unemployment insurance claims and coordinate court-ordered child support deductions with strict adherence to legal withholding limits and timelines.People Analytics:
Generate and analyze HCM data to support labor negotiations, including seniority lists and demographic trends. Create dashboards that translate complex data sets into clear insights for leadership review. Support system implementation through data mapping, validation, and the generation of seniority lists and trends for leadership review.Operational Continuity:
Act as the administrator for our HR/Payroll ticketing system and HR SharePoint site. Document and maintain all HR system workflows to facilitate departmental cross-training.Departmental Backup:
Maintain proficiency in full-cycle payroll processing to serve as the primary functional backup for the Payroll Administrator.Experience HCM & Technical Expertise:
Proven experience with enterprise HCM systems such as UKG, Workday, or Paylocity. Must possess advanced proficiency in Microsoft Excel, including the ability to utilize Pivot Tables, VLOOKUPs, and complex formulas for data manipulation and visualization.Financial & Data Integrity:
Hands-on experience in billing reconciliation, internal data auditing, and managing sensitive financial data such as court-ordered child support deductions and unemployment insurance claims.Operational Systems Management:
Demonstrated ability to manage HR/Payroll ticketing systems and serve as a SharePoint administrator to document workflows and maintain departmental continuity.Labor & Union Compliance:
Ability to interpret Collective Bargaining Agreements (CBAs) to ensure system configurations and manual audits align with negotiated pay steps, seniority rules, and benefit contributions.Payroll & Process Knowledge:
Proficiency in full-cycle payroll processing and a strong understanding of wage verification and employment disclosure legal requirements.Project Management & People Analytics:
Experience leading HR process improvements or system implementations, with the ability to generate seniority lists, census data, and turnover metrics to support labor negotiations.Communication & Collaboration:
Excellent written and verbal communication skills, with a proven ability to translate complex data sets into clear, concise dashboards for leadership review and collaborate effectively across the HR team.Minimum Qualifications Education:
Bachelor's degree in Human Resources, Finance, or Business; OR 5+ years of progressive experience in HR Operations, Payroll, or Data Analysis.Preference:
Prior experience in a unionized environment and project management experience are highly preferred.
