Job Description

Payroll & HR Operations Administrator Department:
Finance / Human Resources Position Summary The Payroll & HR Operations Administrator is responsible for the accurate and timely processing of payroll, payroll reporting, attendance data reconciliation, and HR operational support. This role requires strong hands-on experience with ADP Workforce Now, advanced payroll reporting and analytics capabilities, and experience working with an attendance management system. The Payroll & HR Operations Administrator serves as a key operational owner of ADP Workforce Now, ensuring system configuration accuracy, workforce data integrity, compliance, and audit readiness. This position partners closely with Human Resources, Finance, Operations, and department leadership to support payroll administration, attendance management, employee support, compliance initiatives, workforce reporting, and operational continuity. Essential Duties and Responsibilities Payroll Processing & Systems Process bi-weekly payroll accurately and on time using ADP Workforce Now Maintain employee payroll records, including earnings, deductions, taxes, garnishments, benefits, and direct deposit information Audit payroll data for accuracy and proactively resolve discrepancies Ensure compliance with federal, state, and local wage and hour laws and payroll regulations Support payroll corrections, adjustments, reconciliations, and audit requests ADP Workforce Now (Required) Minimum 3 years of hands-on experience using ADP Workforce Now Run standard and ad hoc payroll reports Perform payroll analytics (trends, variances, overtime, attendance impact, audit controls) Partner with HR and Finance to support audits, reconciliations, leadership reporting, and workforce analysis Support system testing, process improvements, and workforce data accuracy Attendance Management Manage and reconcile payroll data with the attendance management system (e.g., Jupiter or similar) Monitor attendance, time punches, PTO usage, tardiness, and exceptions Collaborate with HR on attendance policy administration, enforcement, and reporting Ensure attendance data supports consistent, defensible employment decisions by maintaining accurate thresholds, validations, audit trails, and documentation Support attendance tracking and corrective documentation processes as needed Reporting, Compliance & Analytics Prepare payroll summaries, labor cost reports, overtime analysis, variance reports, and workforce reporting Support management requests for payroll and labor analytics Assist with year-end payroll processing, including W-2 review, reconciliations, and audits Ensure payroll practices remain compliant with federal, state, and local wage and hour laws, payroll regulations, and company policies Support payroll audits, attendance documentation, compliance reporting, and record retention requirements Assist with responses to payroll-related agency inquiries, tax notices, garnishments, unemployment claims, and employment verification requests Monitor payroll and attendance processes for accuracy, consistency, and potential compliance risks Employee Support & HR Operations Respond to employee payroll inquiries professionally and confidentially Assist with payroll-related corrections, adjustments, and explanations Support onboarding and offboarding payroll and HR administrative tasks Maintain workforce data integrity and personnel documentation Support employee communications, policy acknowledgment tracking, and HR operational processes Serve as the primary point of contact for ADP, tax agencies, garnishments, and payroll-related inquiries Collaborate closely with HR, Finance, Operations, Warehouse leadership, and department managers to support workforce administration and operational continuity Qualifications & Experience Required 3+ years of payroll experience with ADP Workforce Now; demonstrated exposure to HR or Accounting functions Demonstrated experience running payroll reports and performing payroll analytics Experience with an attendance management system (Jupiter preferred) Strong attention to detail and data accuracy Solid understanding of payroll compliance and wage/hour regulations Proficiency in Microsoft Excel (reports, reconciliations, data review, formulas, filtering) Strong organizational, analytical, and problem-solving skills Ability to manage multiple priorities and deadlines in a fast-paced environment Ability to maintain confidentiality and handle sensitive information with professionalism and discretion Preferred Experience in a manufacturing or distribution environment Payroll certification (CPP or FPC) - not required but a plus Experience working closely with HR and Finance leadership Direct HR experience supporting employee lifecycle activities Accounting experience involving reconciliations, general ledger support, or audits Experience supporting workforce compliance initiatives and operational reporting Education High School Diploma or GED required Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred Equivalent combination of education, training, and experience will be considered Core Competencies Confidentiality and discretion Analytical thinking and problem-solving Strong organizational and time management skills Attention to detail and accuracy Professional communication and collaboration Accountability and follow-through Adaptability and responsiveness Process improvement mindset Ability to work effectively under pressure and shifting priorities Designer Greetings is an Equal Opportunity Employer. Pay:
$26.00 - $32.00 per hour Expected hours: 40.0 per week
