Job Description

Job Description This Role will support a large municipalities Information Technology Solutions (ITS) department with reporting, documentation management, purchasing workflows, mobility program updates, contractor tracking, and general departmental coordination. Responsibilities may shift as programs, grants, and organizational needs change.
  •  Assist with consolidating documentation for quarterly grants reports and ongoing monthly updates.
  •  Assist with contractor hour tracking, invoice reconciliation, and PO verification for Grants programs.
  •  Save vendor SAM registrations and maintain audit ready records.
  •  Research POs, contracts, budgets, encumbrances, and project details using financial systems.
  •  Process mobility deactivations and update FIDs weekly
  •  Identify data errors and assist the mobility team in correcting them.
  •  Maintain and update dashboards for Grants projects
  •  Create requisitions and dispatch purchase orders according to purchasing procedures
  •  Submit combo code setup requests and budget transfer forms when instructed.
  •  Pick up mail weekly, create events as needed, and support meeting setup and cleanup.

Skills and Requirements Experience:
1+ years of Administration responsibilities Ability to learn and use systems such as PeopleSoft Financials, Ivanti/Heat, Perceptive, Adobe Sign, and SharePoint. [Activities...technician_ | Excel] Strong organizational skills and attention to detail. Ability to manage multiple financial, administrative, and operational workflows. Clear written and verbal communication. Ability to work with financial documentation, reporting requirements, and vendor coordination
