Day Shift (8:00am - 4:30pm) Job Summary Provide support to the Health Services Director with the day-to-day operations of Vergennes Grand. Primarily responsible for scheduling HSA's and LPN's in the Health Services Department, assisting Health Services Director (HSD) and Assistant Health Services Director (AHSD) with staffing, admission of residents and other aspects of administrative services as assigned. Duties Administration Develop and maintain a staffing schedule for the Health Services department. The schedule should be available to staff at minimum two (2) weeks in advance in the designated scheduling software. Maintain logs of all schedule requests, time off requests, absenteeism and tardiness, etc. Assist HSD to monitor all training required by HS staff. Assist with tracking information for Quality Assurance Performance Improvement (QAPI). Manage the emergency call system (programming devices, maintaining inventory, etc.). Oversee technology for the department (tracking iPhones, iPads, laptops) ensuring we have enough, the apps are all working, maintaining an inventory of devices. Assist HSD with supply inventory and ordering. Assist HSD with maintaining schedule of required reporting. Answer and direct incoming phone calls. Ensure assigned Outlook calendars are up to date. Participate in meetings and take detailed minutes as requested. Write and distribute email, correspondence memos, letters, faxes and forms. Assist in the preparation of regularly scheduled reports. Assist with updating and maintaining policies and procedures. Maintain contact lists and update phone listings. Provide general support to visitors. Act as the point of contact for Assisted Living residents who need support from the Health Services department. Provide technical support for staff related to the Electronic Medical Record, e-learning and Microsoft Office Applications. Enroll new staff in the technology applications, provides orientation and training. Miscellaneous Maintains organization and cleanliness of work areas. Reports defective equipment to the Facilities Director. Reports any safety hazards in resident apartments immediately. Report accidents and/or incidents to Health Services Director. Participates in required staff training. Maintains professional confidentiality regarding residents, community and staff. Maintains a consistent level of professionalism with residents, family members and staff. Other duties as assigned by Health Services Director, Assistant Health Services Director, Business Office Director, Executive Director, or their designee. Requirements Proven experience as an administrative assistant or office manager. Knowledge of office management systems and procedures Proficiency in Outlook, Paycom and Point Click Care desired, but not mandatory. Must be able to learn new systems. Working knowledge of office equipment, printers and fax machines and services. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular). Excellent time management skills and the ability to prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multi-task.
