Job Description

AI & Workflow Automation Specialist Job Summary We are seeking a highly capable, hands-on AI & Workflow Automation Specialist to help us rethink how work gets done across our organization. This role is not simply about introducing AI tools or building isolated automations. The primary responsibility is to work directly with team members across the business, understand their current processes, identify inefficiencies and opportunities, and reimagine workflows from the ground up using AI, automation, and better integration of our existing technology. Our technology environment includes Microsoft 365, HubSpot, NetSuite, Veracross, Yardi, QuickBooks, Zoom, Adobe, and other business platforms. We are not looking for someone who already knows every system. We are looking for someone who understands how modern systems, APIs, AI tools, and automation platforms can work together and who is resourceful enough to figure out the rest. The ideal candidate combines technical capability with curiosity, business judgment, and strong interpersonal skills. They should enjoy sitting with a team member, asking "Walk me through how you do this today," understanding the real problem, and then finding a dramatically better way to accomplish the same objective. Core Responsibilities Workflow Reimagination & Process Improvement Work directly with employees and department leaders to understand existing workflows and identify unnecessary steps, duplicate data entry, manual handoffs, disconnected systems, repetitive work, and other inefficiencies. Redesign those processes using AI, automation, and better system integration. AI & Automation Development Build practical solutions that reduce administrative work and allow employees to spend more time on higher-value activities. Solutions may include AI-assisted document processing, workflow automation, intelligent data extraction, reporting, communications, research, and knowledge retrieval. Systems Integration Connect and improve workflows across HubSpot, NetSuite, Veracross, Yardi, QuickBooks, Microsoft 365, Zoom, Adobe, and other platforms using APIs, Power Automate, middleware, scripting, and other integration tools. Cross-Functional Collaboration Spend meaningful time with people throughout the organization to understand how they actually work. Build solutions collaboratively rather than designing technology in isolation. The ability to communicate with nontechnical team members and earn their trust will be just as important as technical ability. Internal Knowledge & Information Access Help organize and connect information currently distributed across email, SharePoint, documents, business systems, and other repositories so employees can more easily find and use institutional knowledge. AI Security & Governance Help establish appropriate controls around the use of AI, particularly when working with confidential financial, employee, customer, student, tenant, investor, and proprietary business information. Training & Adoption Help team members become more effective users of AI and automation. Develop practical examples, reusable workflows, and training based on the actual work employees perform rather than generic AI demonstrations. What We Are Looking For Strong hands-on experience with AI, workflow automation, business systems integration, or related technology. Ability to understand a business process before trying to automate it. Experience working with APIs, webhooks, Power Automate or similar automation platforms. Familiarity with Python, JavaScript, or comparable scripting tools. Experience working with modern LLMs and AI platforms. Comfort working across multiple business applications and learning unfamiliar systems. Strong problem-solving skills and a natural curiosity about how businesses operate. Excellent interpersonal skills and the ability to work effectively with both technical and nontechnical employees. Ability to translate a business problem into a practical technology solution. Experience in real estate, property management, education, hospitality, finance, or other operationally complex businesses is helpful but not required. What Success Looks Like First 30
Days:
Meet with team members across the organization, understand our major systems and workflows, and identify the highest-value opportunities for improvement. First 60
Days:
Redesign and implement several targeted workflows that eliminate unnecessary manual work, improve information flow, or connect systems that currently operate independently. First 90
Days:
Establish a repeatable process for identifying, prioritizing, and implementing AI and automation opportunities across the organization, with clear examples of measurable improvements in how work gets done. How We Will Measure Success Ultimately, success will not be measured by how many AI tools we deploy. It will be measured by whether we meaningfully improve the way people work .
We want to see:
Fewer manual and repetitive tasks Less duplicate data entry Fewer unnecessary handoffs Better connectivity between our existing systems Faster access to information Simpler, more intuitive processes Measurable employee time savings Greater adoption of AI throughout the organization The goal is not to add technology for technology's sake. It is to rethink our processes, simplify our workflows, and use AI and automation to make the entire organization more effective.
