Job Title:
Project Specialist Job Description The Project Specialist supports a growing project team by coordinating activities, maintaining accurate project documentation, and assisting with permit acquisition. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with external stakeholders and internal team members in a small, close-knit office environment. Responsibilities Support the project team by assisting leadership with a variety of administrative and coordination tasks. Maintain and monitor project files to ensure accuracy, completeness, and proper organization. Assist with pulling permits by contacting municipalities to obtain required information and documentation. Collaborate with internal employees to ensure permit requirements and project documentation are aligned. Perform work efficiently under deadlines, schedules, and varying conditions. Coordinate project activities to help ensure timelines, deliverables, and documentation are met. Communicate professionally with external customers to provide information, resolve questions, and support project needs. Assist with job reconciliation activities to help ensure projects are properly documented and closed out. Essential Skills Experience communicating externally with customers in a professional and effective manner. Experience with job reconciliation and project close-out processes. Proficiency in the full Microsoft Office suite, including Word, Excel, Outlook, and related applications. Strong attention to detail with the ability to maintain accurate and complete project records. High level of organization and ability to manage multiple tasks and deadlines. Project coordination skills, including organizing information and supporting project workflows. Ability to perform efficiently under deadlines and changing conditions. Additional Skills & Qualifications Experience with Maximo or similar enterprise asset management systems. Experience with SAP or similar enterprise resource planning software. Comfort working in a small, growing office environment. Ability to interact with customers in both office and field settings. Work Environment This role is based in a small office in Indianapolis with a current team of approximately five people and plans to grow to more than twelve. The environment is close-knit, quiet, and collaborative, with a focus on environmental work and expanding utility-related projects. The dress code is casual, with occasional field work where a change of clothes may be needed. The position may involve customer-facing interactions both in the office and in the field. The standard schedule is first shift, Monday through Friday, with flexible hours, typically around 8:00 a.m. to 4:00 p.m. Job Type & Location This is a Contract to Hire position based out of Plainfield, IN. Pay and Benefits The pay range for this position is $22.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
