About the Academic Health Care Centers The Academic Health Care Centers serve patients across two clinical locations: the Academic Health Care Center in Old Westbury and the Family Health Care Center in Central Islip. The centers operate as a multispecialty group providing comprehensive outpatient clinical care while also serving as a training environment for future physicians in support of the educational mission of York Institute of Technology College of Osteopathic Medicine. This role is essential to ensuring that clinical teams are supported in their use of the EMR and related technology. The Electronic Health Records Systems Analyst will help improve the staff and provider experience, strengthen workflows, support patient care, and contribute to sustainable clinical operations across both sites. Responsibilities York Institute of Technology College of Osteopathic Medicine is seeking an Electronic Health Records Systems Analyst to support its Academic Health Care Centers. This position will support both the Academic Health Care Center in Old Westbury on the Long Island campus and the Family Health Care Center in Central Islip. Reporting to the Assistant Dean of Clinical Operations, the Electronic Health Records Systems Analyst will serve as a key resource for supporting, optimizing, and maintaining the electronic medical record system and related clinical technology workflows. The analyst will work closely with clinical leadership, providers, nurses, medical assistants, front desk staff, billing staff, IT, and external vendors to improve system functionality, strengthen workflows, support training, and enhance the overall use of the EMR across both clinical sites. The ideal candidate will have experience working with electronic medical records, strong problem-solving skills, and the ability to translate clinical and operational needs into practical system improvements. This role requires someone who is service-oriented, organized, collaborative, and comfortable working directly with clinical and administrative teams in a fast-paced outpatient care environment. Key Responsibilities The Electronic Health Records Systems Analyst will be responsible for: Serving as a primary point of support for EMR-related questions, feedback, workflow concerns, and enhancement requests across both Academic Health Care Center sites. Documenting, tracking, communicating, and helping resolve EMR issues in collaboration with internal IT staff, eClinicalWorks, and other technology vendors. Working with clinical and administrative leadership to understand current workflows and identify opportunities to improve efficiency, documentation, communication, and patient care. Supporting EMR optimization efforts, including templates, workflows, user access, reporting needs, and system functionality. Developing, preparing, and leading EMR training sessions for providers, clinical staff, administrative staff, and new employees. Providing both group training and one-on-one support based on staff needs and role-specific workflows. Creating and maintaining training materials, onboarding resources, and learning curricula for new staff. Developing ongoing educational content and refresher training for existing staff as workflows and system functionality evolve. Providing on-site support to new providers and clinical staff during onboarding and workflow transitions. Working with clinic administration to coordinate and communicate technology updates, EMR changes, workflow changes, and system improvements. Supporting EMR access management, user permissions, account setup, role-based access, and offboarding processes. Partnering with leadership to support technology-enabled quality improvement, population health, reporting, and clinical operations initiatives. Helping ensure that EMR tools and workflows support safe, efficient, patient-centered care across both clinical locations. Assisting with efforts to strengthen EMR security, maintain appropriate access controls, and support compliance with HIPAA Privacy and Security Rule requirements and patient confidentiality standards, including: Supporting audit log review processes and appropriate follow-up. Promptly escalating suspected privacy, security, or confidentiality incidents. Supporting EMR downtime procedures, including maintenance and communication. Ensuring secure handling of reports, exported data, and other materials containing protected health information (PHI). . Qualifications Bachelor's degree required. Experience working with electronic medical records or clinical software systems. Strong understanding of information technology systems, clinical workflows, and/or health care operations. Excellent communication, training, organizational, and customer service skills. Ability to work effectively with providers, clinical staff, administrative staff, leadership, IT teams, and external vendors. Ability to troubleshoot issues, manage multiple priorities, and follow through on outstanding requests. Ability to explain technical information clearly to non-technical users. Strong attention to detail and commitment to accurate documentation. Ability to maintain patient confidentiality and comply with HIPAA guidelines. Preferred Qualifications Experience with eClinicalWorks preferred. eClinicalWorks certification in EMR and Practice Management preferred, or willingness to obtain certification after hire. At least two years of experience supporting electronic medical records, clinical systems, health care operations, or ambulatory practice workflows preferred. Experience developing or delivering training for clinical, administrative, or operational staff. Experience with EMR access management, workflow optimization, reporting, templates, or clinical documentation tools.
