Job Description

The purpose of this job is to perform a variety of advanced and complex clerical work in the preparation and maintenance of department records; to perform a variety of clerical tasks as assigned; and to provide professional and courteous customer service at all times. This position works under general supervision, independently developing work methods and sequences.
ESSENTIAL JOB FUNCTIONS
Gathers information and data for meetings and upon the request of Department Head; prepares meeting agendas. Schedules and maintains calendar of appointments, meetings and travel itineraries; coordinates related arrangements. Prepares and distribute minutes of meetings as necessary. Assists co-workers with clerical duties as necessary. Conducts financial research and prepares financial forecasts. Review and submit the Quarterly report to the Chief Information Officer. Manages recurring invoices and purchases for all IT related products and department supplies/equipment; assists managers in tracking of department costs and projects Works with vendors to obtain quotes, order licenses, purchase hardware/software, etc.; maintains technology licenses and legal documents; monitors contracts with technology vendors. Reviews IT related requisitions to ensure that information is entered accurately, the items are charged to the appropriate general ledger accounts, the items were obtained under state contract or other cooperative agreement. Maintains account balances for the departments Operating and Capital accounts as well as IT related Capital Projects and prepares budget transfers as necessary. Organizes, records, and deposits department revenue. Obtains quotes for all IT-related requests County-wide, to include hardware and software. Guides other departments' procurement personnel on the correct accounts and commodity codes to use for purchases. Performs all procurement and purchasing functions for the department. Oversees procurement activity of the IT department by ensuring that all purchases and payments are within the approved budget, that department procedures have been met and purchasing guidelines have been followed, reviews non-budgeted requisitions and determines the best source of funding for the expenditure. Prepares employee reimbursement documentation with supporting documents in accordance with County Finance policies. Serve as timekeeper for change requests to timesheets for hourly staff. Audits and ensures the security and confidentiality of files as appropriate. Assists in preparing the IT annual budget. Completes assigned helpdesk work tickets to ensure efficient, professional, and courteous customer service is given to end users and that their issues are resolved. Administers mobile phone accounts and processes device orders County wide. Configures all mobile devices; transferring data from old to new devices, ensuring that all necessary applications are installed and functional. Tracks County mobile devices and equipment assigned to departments and related billing activities. Generate confidential reports regarding cell phone usage. Manages department decommissioned equipment sales, maintaining inventory, listing description, and coordinating information with the bid winner. Receives all IT related hardware equipment purchases, prepares and submits asset information for tracking and insurance purposes. Assists with tracking computer inventory for all departments. Performs other related job duties as assigned.
Minimum Education and Experience Requirements:
High School Graduation or GED equivalent. Five years of related experience or an equivalent combination of education and experience.

Position Type and Expected Hours of Work This is a full-time position; typical work hours and days are Monday through Friday, 8:30 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but employees must be available during the "core" work hours of 9:00 a.m. - 4:00 p.m. and must work 40 hour each week to maintain full-time status. This is a safety sensitive position and employees holding this position have the responsibility for their own safety and the safety of others. This position is subject to random drug testing. E.O.E.
