Job Description

This position plays an integral part in facilitating the accurate, secure, and efficient flow of information across Mid Michigan College's enterprise data systems. This role provides support for Ellucian Colleague ERP and its Self-Service module, Salesforce TargetX CRM for recruitment and student lifecycle management, Informer reporting tools, Docfinity document management and workflow automation, and related integrations. Responsibilities include troubleshooting application issues, maintaining data integrity, configuring system enhancements, developing custom reports and queries, supporting user access and training, automating business processes, and collaborating with departments to optimize workflows that enhance student success, administrative efficiency, and institutional decision-making. Serves as the technical support analyst for Ellucian Colleague ERP and its Self-Service module, troubleshooting issues, and configuring modules; ensuring reliable access for students, faculty, staff, and administrators. Provides ongoing administration, configuration, and optimization of Salesforce TargetX CRM to support recruitment, admissions, student engagement, and retention processes. Works with and supports the IR position to help develop, maintain, and customize reports, dashboards, and queries using Informer and other reporting tools to deliver actionable data for institutional decision-making, compliance (e.g., IPEDS), enrollment tracking, and operational reporting. Manages the Docfinity enterprise content management (ECM) system, including document imaging, workflow automation, forms processing, electronic approvals, and secure storage/retrieval of college records. Facilitates seamless data integration and flow between systems (e.g., Colleague ? TargetX, Colleague ? Informer, Docfinity ? other platforms, etc.) to minimize manual processes and ensure data accuracy/consistency. Monitors system performance to identify potential issues, applies patches/updates, and coordinates upgrades or enhancements in collaboration with vendors and IT leadership. Troubleshoots and resolves application, database, and integration errors; escalates complex issues to vendors or IT leadership team members as needed. Ensures data integrity, security, and compliance across all supported systems, including user access controls, permissions, audits, college policies, data governance standards, industry best practices and adherence to FERPA. Gathers requirements from departments, analyzes business processes and reporting needs, and recommends/implements system enhancements, custom configurations, or solutions to improve efficiency and meet college goals. Creates and maintains comprehensive documentation, including system procedures, user guides, knowledge- based articles, and process workflows for supported applications. Provides training, one-on-one support, and high-level customer service to end-users (faculty, staff, administrators) on system features, best practices, Self-Service portal, reporting tools, and workflow processes. Performs data extraction, cleansing, validation, and analysis to support institutional research, accreditation, budgeting, enrollment management, and strategic planning. Develops and executes test plans for system changes, integrations, or new features to ensure quality and minimize disruptions to college operations. Collaborates with cross-functional teams (e.g., Admissions, Registrar, IR, IT, Finance, Student Services, etc.) to align technology solutions with operational needs and drive process improvements. Automates routine tasks and workflows where possible (e.g., using Docfinity routing, Informer scheduled reports, or Colleague batch processes) to enhance productivity and efficiency. Participates in system implementation projects, module rollouts, migrations, and post-implementation optimization, including planning, testing, and go-live support. Tracks and resolves support tickets/incidents related to assigned systems using the college's ticketing system, maintaining accurate records, timely communication, and providing regular updates to the technology team on system issues. Performs other duties as assigned.
