•Immigration Defense, P.C. focuses on winning complex and high-stakes immigration cases. The firm represents immigrants and their families in deportation defense, family-based immigration, immigration and criminal fraud waivers, Adam Walsh Act defense, appeals, asylum, and citizenship matters. The team is known for its combination of legal rigor and compassionate client service, emphasizing both strategic advocacy and human-centered representation. Position Summary The Legal Technology Analyst is responsible for administering, optimizing, and automating the firm's legal technology stack — primarily the Filevine case management system — including workflow configuration, integrations, data migration, and AI-driven scripting, to improve efficiency across the firm's immigration caseload. This is a full-time, hybrid position based in San Jose, reporting to the Chief Operating Officer. Key Responsibilities Administer and optimize the firm's Filevine case management system for its immigration caseload, including workflow configuration, custom fields, templates, and automation rules tailored to USCIS filings, EOIR/removal defense deadlines, RFE/NOID tracking, and family-based petitions Build and maintain Filevine integrations (e.g., Document Assembly, Lead Docket, Workato automations) to streamline case intake, document generation, and reporting Design and implement AI-driven scripting and automation to reduce manual data entry and accelerate repetitive immigration case tasks (intake triage, document drafting, status updates, filing-deadline alerts) Partner with Vineskills or another Filevine-certified partner on implementation, migration, and ongoing optimization projects Train attorneys, paralegals, and support staff on Filevine best practices and new automations Configure and adjust Filevine's Payments module, LOIS AI, and Client Portal to support client payments, AI-assisted case work, and client communication Troubleshoot Filevine issues and serve as the firm's internal point of contact for case-management-system questions Monitor data integrity across the case management system and flag or resolve inconsistencies Evaluate new legal-tech and AI tools and recommend adoption where they improve efficiency Maintain documentation of workflows, automations, and system configurations for continuity Collaborate with the COO on technology budget, licensing, and vendor relationships, including Filevine and Vineskills Qualifications Prior hands-on experience in an immigration law practice specifically — not just general legal admin — with working familiarity with USCIS filing processes, EOIR/immigration court procedures, and common case types (removal defense, family-based immigration, asylum, waivers) Demonstrated hands-on experience administering Filevine or comparable legal case management software Experience working with or through Vineskills, or another Filevine-certified implementation/optimization partner, strongly preferred Experience building AI-assisted scripts or automations (e.g., Workato, Zapier, custom scripting, or Filevine's native automation tools) to streamline legal workflows Strong troubleshooting and process-documentation skills Ability to train non-technical staff on new systems and workflows High degree of discretion given access to confidential client and case data Bachelor's degree preferred; equivalent hands-on Filevine/legal-tech experience considered
