Remote Position Overview:
Craftours is seeking an organized, detail-oriented, and tech-savvy Assistant Web Operations & Marketing Coordinator . This role is designed to directly support our Web Graphics Manager by taking ownership of the day-to-day administration, client documentation, and content deployment for our international tour operations. The ideal candidate will bridge the gap between creative tour development and seamless logistical execution, freeing up management to focus on new tour generation and advanced digital product development.

Core Responsibilities 1.
Tour Launch & Web Administration Support Itinerary Processing:
Review upcoming tour itineraries to accurately extract, define, and draft the text for the "Package Includes" section of tour pages.
Registration Form Management:
Regularly update online client registration forms to add newly created tours and systematically archive expired ones.
Website Updates:
Manage the weekly rotation of the website pop-up window featuring new tours and assist with basic main page banner updates. 2.
Client Logistics & Tour Documentation Pre-Tour Assets:
Compile and format "At-A-Glance" travel documents containing essential flight and hotel information for departing clients.
Client Communications:
Draft and schedule automated operational emails, including "Know Before You Go" advisories and welcome/farewell dinner meal selection surveys.
Print Production:
Coordinate the creation, printing, and assembly of physical client fulfillment materials, including tour information booklets, booklet covers, luggage tags, and welcome letters.
Post-Tour Feedback:
Generate digital feedback surveys for completed tours and coordinate email follow-ups to collect traveler reviews. 3.
Marketing & Social Media Execution Eblast Deployment:
Format and execute three weekly promotional eblasts utilizing established graphics templates and tour campaigns.
Social Media Formatting:
Convert approved eblast content into optimized daily posts for Craftours' Facebook and Instagram channels.
Mobile App Client Management:
Once the Craftours mobile app is live, take ownership of provisioning user accounts, inputting client data prior to departure, and sending out access links to travelers. 4. Executive Social Media Management (Support for Jim West) Coordinate scheduling and publishing for Jim West's personal social media profiles (Facebook, Instagram, TikTok, and YouTube) at a cadence of 3-5 posts per week . Assist with organizing raw video assets, formatting edited clips, and writing engaging captions for executive lifestyle and travel content.
Qualifications & Skills Technical Proficiency:
Experience with basic Content Management Systems (CMS), digital survey tools, and email marketing platforms (e.g., Mailchimp, Constant Contact).
Software Competency:
Familiarity with Microsoft 365 environments, including Teams, Excel, and Word for data entry and documentation.
Organization:
Superior time-management skills with the ability to balance multiple tour timelines simultaneously.
Communication:
Strong proofreading and professional writing skills for client-facing emails and social media captions.
Industry Passion:
A background or strong interest in travel, hospitality, or the crafting/artisan sector is a plus.
