Job Description

Job Summary We are seeking two fun and organized Front Desk Coordinators to serve as the welcoming face of our pediatric dental practice. This position is temporary to cover maternity leave for two of our employees. One position will begin 6/15/2026 and one will begin 8/31/2026 and they both end 1/29/2027. In this vital role, you will manage patient check-in and check-out processes, coordinate appointment scheduling, and ensure seamless communication between patients and clinical staff. Your energetic approach and attention to detail will help create a positive experience for every visitor while maintaining efficient office operations. Some of the duties will entail: Greet patients and visitors warmly, verifying their appointment details and updating demographic and insurance information accordingly Manage patient check-in and check-out accurately, including data entry within our Dentrix system Schedule, reschedule, and confirm appointments using medical office management software, ensuring optimal clinic flow Answer multi-line phone systems professionally, providing excellent patient service and directing calls appropriately Assist with administrative tasks such as scanning, data entry, emails, and managing electronic health history records in compliance with HIPAA regulations Collaborate with clinical staff to facilitate smooth intake procedures for new patients or follow-up visits Qualifications Prior experience in a dental or medical office or healthcare setting with clinic experience preferred but not required Familiarity with dental terminology is helpful Excellent customer service skills combined with professional phone etiquette and multi-line phone system experience Proficiency in computer skills is a must Ability to handle sensitive patient information in accordance with HIPAA regulations with attention to detail during documentation review Strong organizational skills with clerical experience in scanning, data entry, and office management tasks
