Roles & Responsibilities About the Role We are looking for an experienced and operationally focused Senior Operations Executive to support the Singapore Operations Manager in the coordination of daily vessel operations and oversight of boarding agents at the Port of Singapore. The position is intended for a strong operational profile capable of supporting day-to-day operations, helping coordinate boarding activities, and acting as a reliable point of support during critical or high-volume operational periods. The ideal candidate will have solid experience in Singapore port operations, excellent communication skills, and the ability to coordinate multiple stakeholders in a fast-paced maritime environment. Key Responsibilities Vessel Operations Coordination
Support the Singapore Operations Manager in the coordination and supervision of daily vessel operations.
Monitor vessel calls and operational progress to ensure smooth execution of services.
Anticipate operational requirements based on vessel schedules, client needs, and port conditions, taking proactive action to ensure smooth vessel attendance and service delivery.
Assistin handling operational issues, delays, and urgent situations when required.
Maintain continuous communication with principals, terminals, authorities, suppliers,and internal stakeholders.
Ensure timely operational updates are provided to all parties involved.
Support the preparation and follow-up of operational documentation and reporting.
Assist in maintaining operational continuity during absences, leave periods, or peak workloads. Shipping Agent Coordination
Coordinate and oversee vessel boarding agents operating at the Port of Singapore.
Ensure boarding activities are properly planned, covered, and executed according to operational requirements.
Monitor attendance quality, responsiveness, and reporting standards.
Provide operational guidance and support to boarding agents when required.
Assist in organizing boarding schedules and operational coverage.
Ensure boarding operations comply with company procedures and safety standards. Operational Control & ServiceStandards
Ensure operational procedures and company standards are properly followed.
Support compliance with documentation, reporting, and system updates.
Assist in monitoring the correct use of operational platforms and Microsoft 365 tools.
Maintain high standards of customer service and operational communication.
Ensure operational files are properly updated and closed.
Exercise sound operational judgment and make timely decisions during routine and urgent operational situations.
Support the maintenance of operational discipline, accountability, and performance standards within the Singapore operations team. Coordination & Office Support
Support communication and coordination between the Singapore office and other departments.
Collaborate with local suppliers, service providers, terminals, and operational partners.
Provide support during critical operations and outside office hours when necessary.
Assist with general operational coordination within the Singapore office when required. Compliance & Safety
Ensurecompliance with port regulations, customs requirements, and company procedures.
Promotesafe working practices during vessel attendance and port operations.
Supportcompliance with ISO standards and internal operational processes. Candidate Profile Experience
Preferably 5 years or more of experience in shipping agency, vessel operations, boarding agency, port operations, or related maritime sectors.
Candidates with proven supervisory or management-level operational experience may also be considered.
Experience working within the Port of Singapore environment is highly desirable.
Experience coordinating boarding activities or operational teams is considered an advantage. Education
Relevant maritime, shipping, logistics, or business qualifications are advantageous but not mandatory. Equivalent industry experience will be considered. Skills & Competencies

Good knowledge of vessel agency operations and port procedures.
Proficiency in Microsoft 365 environment (Excel, Outlook, Teams, SharePoint) and operational systems/ERP platforms.
