Job Title Travel Clerk / Administrative Assistant Location Rome, NY 13441 US (Primary) Job Type Full-time Education High School Career Level Experienced (Non-Manager) Category Administration Job Description EPS Corporation is seeking a highly organized and detail-oriented Travel Clerk / Administrative Assistant to provide essential support to our directorate. This individual will be responsible for a wide range of administrative and clerical tasks, with an emphasis on document processing, file maintenance, and regulatory compliance.
Job Description:
Supports personnel by planning, coordinating, and booking travel, lodging, and transportation for personnel, ensuring compliance with travel regulations and authorized itineraries. Process travel reimbursements, maintain records, and may handle visa or security clearances. Plans itinerary and schedules travel accommodations for personnel using knowledge of routes, types of carriers, and travel regulations. Verifies travel orders to ensure costs, availability, and convenience of different types of carriers to select most advantageous route and carrier; notifies personnel of travel dates, baggage, limits and medical and visa requirements, and determines that all clearances have been obtained. Assists personnel in completing travel forms and other business transactions pertaining to travel, may deliver personnel files and travel orders to persons prior to departure, meet and inform arriving personnel of available facilities and housing and furnish other information, and may arrange for motor transportation for arriving or departing personnel
PREFERRED ABLITITES
Independence of action, with very little instruction, guidance, and review, except for review of accomplishments of broad objectives and conformance to policy. Be authority on travel matters, including the furnishing of advice and information to travelers, administrative officials and others; and has responsibility as the principal liaison with all elements, carriers, and facilities.
Key Responsibilities Travel Planning & Booking:
Plans complex itineraries, schedules flights, and books accommodations based on travel orders, cost-efficiency, and regulations. Research all travel requirements (e.g. specialized training, visa, and passport) and communicate these requirements to the traveler.
Country Clearance Processing:
Process all foreign clearance (country, theater and special area) requests. Initiate foreign clearance process within 24 hours of request. Ensure adherence to all applicable travel regulations. Safeguard all personal information and data within records.
Compliance & Documentation:
Verifies travel orders, ensures all clearances (security, visa) are met, and prepares necessary documentation. Verify training is accomplished prior to processing clearance requests in accordance with electronic Foreign Clearance Guide pre-travel mandatory travel requirements.
Customer Support:
Communicates with travelers regarding itineraries, baggage limitations, and safety requirements. Maintain a continuity book that outlines local procedures. Provide training to travelers. Provide travelers with customized emergency contact information, such as Point of Contact listing for the clearance grantor and the appropriate U.S. Embassy.
Administrative Duties:
Maintains traveler profiles, provides updates on policy changes, and assists with administrative tasks such as file maintenance or reporting. Maintain copies of country, theater, and special-area clearances in accordance with Air Force records and Information Management procedures.
Requirements Qualifications Education:
High school diploma or equivalent.
Experience:
Previous experience in travel coordination, office administration, or customer service, often with familiarity in government travel systems.
Skills:
