Job Description

Job Summary We are seeking a highly organized and proactive Account Associate to support our growing manufactured housing sales operation. This role works directly with the Sales Manager to ensure that once a home sale is secured and placed on order, the account process moves forward smoothly. The Account Associate will help manage post-sale communication, documentation, scheduling coordination, and client updates. This position plays a critical role in maintaining a professional client experience and ensuring each order progresses efficiently. The ideal candidate is detail-oriented, communicative, and comfortable managing multiple accounts simultaneously while maintaining accurate records and timelines. Key Responsibilities Client Account Management
  • Serve as the primary point of contact for clients after a home order has been placed.
  • Maintain ongoing communication with buyers regarding production updates, timelines, and delivery schedules.
  • Ensure clients receive timely updates regarding manufacturing progress, delays, or delivery coordination. Documentation & Administrative Support
  • Send and collect required documentation from buyers including contracts, order confirmations, shipping documents, and compliance paperwork.
  • Maintain accurate records for each account and ensure files are organized and up to date.
  • Coordinate document delivery and track important paperwork required for each order. Order & Delivery Coordination
  • Track production status for homes on order and communicate updates internally and to clients.
  • Coordinate with manufacturers, logistics teams, and installers regarding delivery timelines.
  • Gather and verify shipping information and ensure all documentation is prepared before delivery. Internal Reporting
  • Provide regular updates to the Sales Manager regarding: ○ Order status ○ Documentation completion ○ Delivery timelines ○ Client communication updates
  • Ensure any potential issues or delays are identified early and communicated promptly. Client Experience
  • Ensure each buyer experiences a smooth and professional process from order placement through delivery.
  • Assist in resolving routine questions or concerns from clients during the production and delivery process. Requirements Experience
  • Experience in account management, administrative support, project coordination, or customer success
  • Experience in sales support or transaction coordination is strongly preferred
  • Experience in logistics or manufactured housing is a plus but not required Skills
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to manage multiple client accounts simultaneously
  • Detail-oriented with strong follow-through
  • Comfortable working in a fast-paced, sales-driven environment
  • Professional client communication and problem-solving ability Technical Skills
  • Experience with email communication, spreadsheets, and document management
  • Familiarity with CRM systems or project tracking tools is preferred
