Job DescriptionJob Description Western Oil, Inc. is seeking an organized, dependable, and detail-oriented Accounting Clerk to join our team. This vital position supports the company's daily financial operations, ensuring accuracy and efficiency across billing, payments, and recordkeeping. The ideal candidate takes pride in precision, thrives in a fast-paced environment, and maintains a professional, trustworthy approach to all aspects of accounting and communication. Responsibilities
  • Enter the previous day's oil and environmental driver receipts into QuickBooks.
  • Create and process invoices for billing, submit to the President for approval, and send approved invoices to customers.
  • Process credit card payments from receipts and call-in payments.
  • Enter and apply mailed payments in QuickBooks and file accounts receivable.
  • Stamp and organize accounts payable for weekly review by the President.
  • Check in oil drivers, review receipts, and verify that all funds are accounted for.
  • Run remote deposits through the bank's online portal.
  • Manage collections: apply monthly finance charges, generate and send customer statements after approval, and make collection calls as needed.
  • Review job racks for unbilled jobs, coordinating with the environmental and sales teams to ensure timely billing.
  • Make cash deposits at bank as instructed by the Office Manager.
  • Order office and operational supplies (forms, drums, materials) as requested by staff.
  • Pull payables from the aging list (reviewed by the Office Manager and President) for payment and filing.
  • Maintain custody and tracking of company credit cards.
  • Serve as backup for phones and dispatch when the receptionist/dispatcher is unavailable. Qualifications
  • High school diploma or equivalent required; Associate degree in Accounting or related field preferred.
  • Minimum 2 years of accounting or bookkeeping experience, preferably with QuickBooks.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Exceptional organizational, communication, and multitasking skills.
  • Strong attention to detail and accuracy in all work.
  • Ability to handle confidential information with professionalism and integrity. Salary & Job Type
