Accounts Payable Clerk

ESSENTIAL JOB FUNCTIONS

Match purchase orders with vendor invoices and shipping receipts. Reconcile invoices and credit memos to vendor statements. Follow up with vendors to resolve discrepancies. Identify department to charge for invoices that do not have a requisition. Check purchase orders for proper signatures, and verify correct dollar amounts, item descriptions and quantities. Enter data into accounting system. Ensure that transactions are posted in proper accounts and periods. Monitor invoices for due dates and payment terms/discounts. Ensure payments are made on time to qualify for discounts. Prepare accounts payable checks, and maintain file of cancelled/voided checks. Maintain filing system of required records for all purchases. Maintain vendor listing, and work with Purchasing to ensure company policies are followed in reference to new vendors. Prepare vendor 1099s at end of year. Perform other duties and responsibilities as assigned.

EXPERIENCE & QUALIFICATIONS

2-year degree in Business/Accounting or equivalent experience in related field. Experience working with accounting software.

Excellent communication and interpersonal skills. Strong accounting, organizational and professional skills. Strong computer, typing and 10-key skills. General accounting knowledge. Able to work in a stressful, deadline-driven environment. Able to maintain strict confidentiality. Self-motivated and dependable. Mathematical aptitude. Highly organized.

UNIVERSAL REQUIREMENTS
