Job Description

Job Summary The Accounts Payable Specialist is responsible for performing day-to-day accounts payable activities and providing general accounting support to ensure accurate financial recording and timely vendor payments. This role supports strong internal controls, maintains positive vendor relationships, and works closely with plant and purchasing personnel to facilitate smooth financial operations. Responsibility Process and verify invoices and expense reports, ensuring appropriate approvals and compliance with company policies. Monitor and follow up on outstanding invoices, including COD/CIA items and unresolved receipt discrepancies. Maintain accurate vendor account records and reconcile company activity to vendor statements; resolve variances directly with vendors. Uphold strong internal control practices and promptly communicate potential weaknesses to the Controller. Collaborate with plant personnel to support timely and accurate vendor payments. Sort and process incoming accounts payable mail daily and prepare debit memos as needed. Maintain organized and complete AP records and filing systems. Partner with the Purchasing Department to add or update vendor information. Support month-end close through account reconciliations, follow-ups, and other tasks assigned by the Plant Controller. Further duties may be added Academic/Educational Requirements High School Diploma required, associate or bachelor's degree in accounting preferred. 1-2 years of experience in Accounts Payable or general accounting, ideally in a manufacturing or plant environment. . Required Skills/Experience Strong organizational and documentation abilities. Effective communication skills; able to work collaboratively with internal teams and external vendors. Basic math, business writing, and computer literacy required. Proficiency in Excel strongly preferred. Experience with MAPICS or similar ERP systems is a plus. Demonstrated dependability, accountability, adaptability, and attention to detail. Working Conditions Works under general supervision with established procedures and guidelines. Frequent sitting, occasional standing and walking, and regular use of hands for data entry and document handling. Requires ability to focus on detailed financial information and maintain accuracy. Noise level is typically moderate (e.g., plant/office environment).
