Job Description

Job Overview Perform a wide variety of clerical and secretarial duties to organize, coordinate and schedule school office activities, assist the administration in routine tasks and perform public relations for the school. What you'll do Organize, coordinate and schedule a variety of office activities to assist the Administration with tasks, prepare and accurately maintain a variety of reports, records, and files relating to students, operations, and activities. Assist in walking students to and from class / provide restroom assistance Organize visitors in appropriate accommodations. Answer all incoming phone calls to Altus Academy, check school voicemails daily, distribute messages to appropriate parties and transfer calls when necessary. Call and email all parents with updated information when necessary. Compose routine correspondence independently; prepare, type, and distribute communications as requested, check and distribute mail accordingly. Provide information concerning school policies, procedures, actions, activities, and schedules as appropriate; and maintain the school calendar. File student records and notify appropriate staff of student updates/changes. Assist in setting up for various school events (meeting, training, etc.). Assist in district billing monthly, print all service sheets if needed (SAI, Speech, OT, BCBA, APE, ERICS, and 1:1), scan final documents to be e-mailed to the appropriate districts. Assist IEP Coordinator with creating invites/excusals, contacting appropriate parties to confirm meeting attendance, following up with parties after meetings for signatures and/or questions. Assist Transportation with typing daily drop off list, print and maintain route list, and routing new students. Maintain effective communication with transportation drivers regarding student absences / pick-up times. Print, mail, and file all report cards for the entire school. Perform other duties as assigned.
Knowledge of:
Modern office practices, procedures, and equipment. Record keeping techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Bilingual in Spanish preferred. Oral and written communication skills. Interpersonal skills using tact, patience, and courtesy.
Ability to:
Work confidentially with discretion. Perform a wide variety of clerical and secretarial duties to coordinate school office activities Perform public relations and communication services for the Administration. Compose correspondence independently. Complete work in a fast paced environment with many interruptions. Work independently with little to no supervision. Maintain good public relations with students, parents, staff, and the public. Meet deadlines.
Physical Demands:
Work is performed while standing, sitting, or walking. Requires the ability to communicate effectively using speech, vision, and hearing. Requires the ability to lift, carry, push or pull up to 15 pounds.
