Full Job Description Job Summary:
A fast-growing Homecare agency located in Bergen County NJ is seeking a highly organized and proactive Administrative Assistant to support daily operations for a growing in-home care services company . This role is responsible for coordinating caregiver schedules, managing client needs, assisting with recruitment, and ensuring smooth office operations. The ideal candidate is detail-oriented, responsive, and thrives in a fast-paced environment.
Schedule:
Monday to Friday, 8:00 AM - 4:00 PM (EST)
Key Responsibilities:
General office administration Coordinate and manage caregiver scheduling based on client needs and availability Match caregivers to appropriate cases, ensuring quality and continuity of care Communicate with clients, caregivers, and team members regarding schedules and updates Assist with recruitment , including screening applicants, scheduling interviews, and onboarding new hires Maintain accurate employee and client records in internal systems Handle incoming calls, inquiries, and general office administration tasks Monitor attendance, call-outs, and last-minute staffing changes Ensure compliance with company policies and state regulations Support payroll preparation and documentation as needed
Qualifications:
Previous experience in home care, healthcare, or scheduling preferred Strong organizational and multitasking skills Excellent communication and customer service skills Ability to work in a fast-paced and dynamic environment Proficient in Microsoft Office (Excel, Word, Outlook) Ability to handle confidential information with professionalism Problem-solving mindset and ability to make quick decisions
Preferred Skills:
Experience working with Certified Home Health Aides (CHHAs) or caregivers Knowledge of scheduling software or CRM systems Bilingual is a plus
Work Environment:
Office-based role with frequent communication via phone, email, and scheduling platforms May require occasional after-hours coordination for urgent staffing needs Why Join Us?
