Full Job Description Overview:
Administrative Assistant Samaritan Daytop Village is a leading human services organization in New York State serving over 38,000 New Yorkers annually across more than 60 locations through Transitional Housing, Community Based Services, and Residential and Outpatient programs. First Steps Intensive Crisis Stabilization Center (ICSC), operated by Samaritan Daytop Village in Rockland County, is a 24/7 program dually licensed by OMH and OASAS to provide rapid, short-term support for children ages 5+ and adults in mental health or substance use crisis. Our multidisciplinary team utilizes a trauma-informed, harm-reduction framework to stabilize individuals and connect them with long-term care while avoiding unnecessary emergency room visits. We are seeking a professional and welcoming Administrative Assistant to serve as the primary point of contact for the front desk. This individual ensures smooth daily operations by greeting visitors, managing schedules, and handling phone calls in a trauma-informed manner. The role is responsible for patient registration, insurance verification, and maintaining secure electronic health records. This position is ideal for a detail-oriented professional with a strong customer service background who thrives in a fast-paced environment.
Responsibilities:
Provides front desk coverage by greeting clients and visitors in a respectful and welcoming manner Manages multi-line phone systems and routes calls to the appropriate staff or departments Coordinates patient registration by entering demographic data and verifying insurance coverage Maintains program calendars and coordinates staff schedules and meetings Manages electronic health records by scanning and filing documents in compliance with privacy standards Handles the processing of consents and authorizations for patient care Tracks and orders office supplies to ensure uninterrupted program operations Assists with data entry for attendance tracking and quality improvement reporting Supports administrative tasks including onboarding paperwork and timesheet collection Maintains a clean and organized front office environment for staff and visitors
Qualifications:
High school diploma or equivalent required with some college or an associate degree preferred Minimum of one year of administrative experience in a healthcare or social services setting Proficiency with Microsoft Office Suite including Word, Excel, and Outlook Experience with electronic health records and insurance verification processes Strong customer service skills with the ability to assist individuals in distress with empathy and respect Excellent organizational skills and the ability to prioritize tasks in a fast-paced environment Ability to maintain strict confidentiality of sensitive patient information Professional communication style suited for a behavioral health environment Willingness to obtain CPR or BLS certification Additional Information This is a full-time non-exempt role with an hourly rate of $21.97-$26.23 (annualized at 35 hours a week to $40,000-$47,741) with a full benefits package. Benefits include medical, dental, and vision insurance, 25 days of paid time off, access to a retirement account with an employer to match, an option for daily pay, and tuition reimbursement.
