Full-Time Position Summary The Admin Assistant serves as the right hand to the State Farm Agent, providing high-level administrative, operational, and client service support to ensure the agency runs efficiently and professionally. This role requires exceptional organizational skills, discretion, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced insurance and financial services environment. The ideal candidate is proactive, detail-oriented, highly dependable, and comfortable handling confidential client and business information. Key Responsibilities Administrative Support Manage the State Farm Agent's calendar, appointments, meetings, and daily schedule Screen calls, emails, and correspondence; prioritize urgent matters Prepare reports, presentations, spreadsheets, and business documents Maintain filing systems, digital records, and agency documentation Draft professional emails, letters, and internal communications Assist with payroll coordination, expense tracking, and invoice management Order office supplies and oversee administrative vendor relationships Agency Operations Support Help oversee daily office operations to ensure efficiency and smooth workflow Create and improve office systems, workflows, and operational procedures Track team performance metrics, sales goals, and productivity reports Coordinate team meetings, training sessions, and agency events Support compliance with State Farm operational standards and documentation requirements Qualifications 2+ years of admin assistant, office management, or high-level administrative experience Experience in insurance, financial services, banking, or a professional office preferred Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Excellent written and verbal communication skills Exceptional organizational and time management abilities Strong problem-solving and multitasking skills Ability to maintain strict confidentiality Professional appearance and demeanor Key Traits for Success Highly organized Self-starter Proactive thinker Strong sense of urgency Detail obsessed Loyal and trustworthy Customer-service focused Adaptable under pressure
