This role will support the Office of the Chief Construction Officer and partner closely with leadership and the construction team on project coordination and operations support.Job Description:
Our client is seeking a Construction Administrative Assistant to provide administrative and project support to the construction team in a fast-paced environment. This role will focus heavily on coordinating contracts, purchase orders, change orders, and project documentation while helping ensure projects stay organized and moving forward. The ideal candidate will be proactive, detail-oriented, and confident communicating with leadership, vendors, and project managers. A large portion of this role involves tracking approvals, following up on outstanding items, maintaining reports and logs, and helping manage multiple moving pieces across ongoing construction projects.Key Responsibilities:
Prepare and process construction-related documentation including purchase orders, contracts, change orders, and notices to proceed Coordinate document approvals, signatures, and distribution to vendors and internal stakeholders Maintain project logs, reports, schedules, and tracking documentation Process invoices and expense authorizations Track insurance verifications and maintain organized records Summarize bids into Excel spreadsheets for project managers Communicate regularly with vendors, project managers, and leadership via phone and email Follow up proactively on outstanding approvals and deadlines to help keep projects on track Provide day-to-day administrative and project coordination support to the construction teamQualifications:
3-5+ years of administrative or project support experience within the construction industry required Experience supporting general contractors, subcontractors, or related construction environments preferred Experience preparing purchase orders, contracts, change orders, project schedules, and notices to proceed Proficiency in Microsoft Office Suite and Adobe required Bluebeam experience highly preferred (training available) Strong written and verbal communication skills with the confidence to follow up persistently with leadership and vendors Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously Associate's or Bachelor's degree preferred •Additional Details:
