Job Description
Description We are looking for a dependable Administrative Assistant to support daily front office operations in Glendale Heights, Illinois. This contract to permanent opportunity is ideal for someone who enjoys creating a welcoming environment, keeping administrative processes organized, and handling a variety of clerical tasks with accuracy. The person in this role will serve as a key point of contact for visitors and callers while helping maintain smooth office workflow. Spanish language skills are welcomed for candidates who can assist in a bilingual workplace.
Responsibilities:
- Welcome visitors, create a positive first impression, and direct guests to the appropriate staff or department.
- Manage incoming calls through the main phone line and route inquiries efficiently while maintaining courteous communication.
- Coordinate inbound and outbound mail, including package handling and overnight shipments, to ensure timely distribution.
- Monitor inventory levels for office materials and place supply orders to keep the workplace fully stocked.
- Complete general clerical work such as filing, document organization, and routine record maintenance.
- Enter and update basic information in office records and administrative systems with attention to detail.
- Provide day-to-day administrative assistance to support office operations and address additional tasks as business needs change. Requirements
- Previous experience in an administrative assistant, receptionist, or general office support role.
- Ability to answer inbound calls effectively and manage front desk responsibilities efficiently.
- Strong organizational skills with the ability to handle filing, recordkeeping, and multiple priorities.
- Experience with data entry and routine clerical tasks in an office environment.
- Comfortable ordering supplies and supporting general office administration.
- Clear written and verbal communication skills with a detail-oriented demeanor.
- Bilingual Spanish skills are highly preferred.
- Reliability, attention to detail, and the ability to work independently in a fast-paced setting.
- Experience with Microsoft Outlook is a must!
