Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this role, you will be the backbone of our administrative functions, ensuring seamless coordination across departments and delivering top-notch support to colleagues and clients alike. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks with high accuracy using computer skills in Microsoft Office Support bookkeeping activities using QuickBooks to assist with invoicing and expense tracking Schedule appointments, manage calendars, and coordinate meetings for team members and executives Provide exceptional customer support via phone, email, and in person, addressing inquiries promptly and professionally Assist with office duties such as ordering supplies, maintaining equipment, and overseeing general administrative tasks Skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Proven clerical experience with a focus on accuracy in proofreading and data entry Familiarity with office procedures including filing systems and calendar management Experience with multi-line phone systems and phone etiquette to handle high call volumes gracefully Knowledge of QuickBooks or bookkeeping experience for financial recordkeeping Demonstrated customer service skills with a friendly demeanor and professional communication style Ability to manage time efficiently while juggling multiple responsibilities simultaneously Join us as an Administrative Assistant to be an essential part of our vibrant team!
