Job Description

Administrative Assistant III North Chicago, IL 6-Month Contract 100% Onsite Monday-Friday | 8:00 AM - 5:00 PM $28.00/hr Overtime possible based on business needs Position Overview Orion Group is seeking an Administrative Assistant III to support AbbVie's Environmental Health & Safety (EHS) team within the Global Control of Work program. This role will focus heavily on contractor onboarding coordination, training compliance, customer support, and administrative data management within internal systems and databases. This is a highly interactive administrative role ideal for someone who is organized, detail-oriented, customer-service focused, and comfortable working with contractors, training platforms, spreadsheets, and compliance-related processes. The individual in this role will help ensure contractors are properly onboarded, trained, compliant, and successfully set up within AbbVie systems prior to beginning onsite work. Key Responsibilities Support contractor onboarding and setup processes for onsite access and compliance Interface directly with contractors and contractor company administrators to assist with onboarding requirements, training, and system navigation Collect, review, upload, and track required contractor documentation and qualification records Assist contractors with navigating internal training systems and ensuring training compliance is completed Coordinate approvals and maintain accurate records within company databases and tracking spreadsheets Monitor contractor qualification and compliance expiration dates and follow up for updates as needed Provide administrative support for contractor safety management and training materials Assist with process improvement efforts to streamline repetitive administrative tasks and workflows Serve as a customer service-oriented point of contact for contractor-related onboarding and compliance questions Required Skills & Qualifications Strong organizational skills and ability to manage multiple administrative tasks efficiently Customer service experience with strong communication and follow-up skills Experience with Microsoft Office, particularly Excel and spreadsheets for tracking purposes Strong attention to detail and data entry accuracy Ability to quickly learn new systems, training platforms, and internal business tools Strong problem-solving skills and adaptability in a fast-paced environment Preferred Qualifications Experience supporting onboarding, compliance, training coordination, or contractor management processes Basic project coordination or administrative project management experience Familiarity with EHS (Environmental Health & Safety) processes or safety compliance environments Experience interfacing with external vendors or contractors Work Environment Office-based environment Position requires sitting and computer-based work for extended periods Highly collaborative and process-driven administrative support role
